The Maintenance Specialist is responsible for the day-to-day operations and performance of company maintenance portfolio. This role includes supervising Maintenance Technicians and trades to ensure work order repairs meet company expectations. In addition, responsibilities include ownership of tenant service experience, work order processing/assignment, overseeing property turns from start to finish and ensuring properties meet all owner and HOA standards. This position consists of both office and field responsibilities with most of time spent visiting properties to execute required maintenance tasks.

Responsibilities

  • Manages company maintenance portal to ensure work orders are assigned, completed, and updated daily
  • Creates and manages schedules of maintenance staff
  • Manages weekend on-call schedule
  • Supervises Maintenance Technicians to ensure work order completion date and quality standards are met
  • Hires, schedules, and oversees third-party trades as needed to make proper repairs
  • Acts as liaison between Maintenance Technicians or trades and Property Manager
  • Provides direct field support, as needed, to maintenance technicians
  • Trains Maintenance Technicians in processes, technology systems, and company expectations
  • Develops and improves processes and procedures proactively for more effective maintenance platform performance
  • Provides excellent customer service to tenants and promotes a positive living environment striving for complete resident satisfaction and 5-star client survey responses
  • Resolves tenant issues and escalations
  • Responds promptly and professionally to tenant maintenance service requests both during business hours and after hours with goal of 24 business hour response time
  • Educates and reviews the Tenant Maintenance Responsibilities form with residents on common maintenance topics continuously
  • Manages New Home Orientation walks after builder completion:
    • Determines any items that may need attention by builder before close
    • Ensures capture of appliance, HVAC, and water heater serial/model numbers at New Home Orientation and registers each with manufacturer
    • Ensures serial/model numbers are entered at property level in property management software
    • Registers and monitors builder warranty dates within property management software
    • Initiates and completes all other tasks related to the New Home Orientation
  • Manages Move-Out Turns:
    • Assigns small item repairs to Maintenance Technician
    • Schedules and oversees all tasks requiring a third-party trade
    • Ensures property is Show-Ready
  • Manages Move-In Orientations:
    • Ensures Maintenance representative attends move-ins
    • Ensures maintenance orientations is performed with tenant
    • Reviews Tenant Responsibilities and emergency procedures with new resident
  • Works closely with Client Services to ensure use of warranty services when applicable
  • Identifies areas of preventative maintenance that could be introduced to reduce long-term cost and deterioration of homes within portfolio
  • Approves or obtains approval of pricing for repairs outside of normal scope within provided threshold independently
  • Manages, schedules, and performs preventive maintenance and any repairs within multiple trade categories on a perpetual basis to reduce service requests and long-term
  • Completes property condition assessments at all property visits and present findings to property management
  • Obtains approval from management and purchases maintenance supplies as needed for properties
  • Utilizes and cares for company supplied tools and materials properly
  • Complies with health and safety rules and regulations, as well as applicable local, state, and federal laws
  • Performs other duties as assigned

Qualifications:

  • High School diploma or equivalent
  • Minimum three years of previous experience in property management maintenance, other building maintenance or related trade is required
  • Minimum one year in managerial or supervisor position
  • Valid driver’s license, current automobile insurance, and reliable personal transportation required for daily travel
  • Ability to be at work on a regular and consistent basis - overtime may be required for this position
  • Must maintain professional appearance and comply dress code policy
  • Must comply with all safety regulations
  • Ability to be “on-call” during weekends and non-traditional holidays if needed
  • Must provide basic hand and power tools
  • Must have reliable vehicle transportation that is capable of extensive travel and able to carry ladder and other required tools

General Requirements:

  • Knowledge of federal fair housing laws and any applicable local housing provisions
  • Ability to read, write, and understand English
  • Ability to use a personal computer, iPad, AppFolio Management Module, or other computer tracking systems
  • Ability to compose professional and grammatically correct correspondence via email or text

Physical Requirements:

  • Ability to ascend/descend stairs and ladders
  • Ability to lift up to 50 pounds without assistance
  • Standing, walking, and/or sitting for extended periods of time
  • Frequent climbing, reaching, and use of fingers
  • Moderate stooping, kneeling, crawling, pushing, pulling, lifting, talking, and hearing
  • Sustains substantially recurring movement to fingers, hands, wrists, legs, and feet
  • Ability to use standard maintenance equipment
  • Ability to operate assigned equipment and vehicles
  • Work and/or walk on various types of surfaces

Working Conditions:

While performing the duties of this position, the associate is regularly exposed to outside weather conditions, which may include wet and/or humid conditions, and extreme cold or extreme heat.
