Job Summary:

The Receptionist is responsible for answering the telephones, assisting clients walking into the office, with program information, informing clients of information required for appointments, reviewing information for appointments, photo copying, and keeping track of clients in emergency situations. Open, date stamp, scan, sort mail/faxes between intake workers, and different heating sources, when needed making file folders and filing applications, assist in clerical duties in the daily operation of the program and perform general duties as required. Employee may be scheduled for alternative hours on Thursday evenings and Saturdays.

Essential Functions/Key Responsibilities:

  • Interviewing new clients prior to their appointment.
  • Reviewing applications to determine if any mistakes have been made or information is needed.
  • Making sure all documentation has been date stamped.
  • Matching documentation that comes in the mail/ fax to intake worker.
  • Filing applications, verifications as needed.
  • Sending outgoing mailings follow up appointment forms with reminder time, date, and required documentation for scheduled appointment.
  • Answer telephones
  • Assisting clients with making appointments, and program information, informing clients of information required for appointments, reviewing information for appointments.
  • Date stamp all mail and faxes.
  • Sorting and filing mail, faxes to intake worker.
  • Other duties as assigned based on the needs of the program.

Skills & Qualifications:

  • High School Diploma or GED Required.
  • Must be people oriented, have good interpersonal and telephone manners, verbal and written communication skills.
  • Must have some experience in general office procedures.
  • Experience in social service area preferred.
  • Ability to learn and perform all program operations.
  • Bilingual (English/Spanish) required.
  • Must have a suitable CORI & SORI completed within the first thirty (30) days of employment.
  • Work as needed alternative hours on Thursdays and Saturdays.

Supervisory Responsibility: None

Travel: May be required.

Physical Demands: This job regularly requires the employee to sit, walk and stand as well as use hands repetitively to handle or operate standard office equipment. The employee is occasionally required to kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

Work Environment: This job operates in a professional office environment and uses standard office equipment, such as computers, phones, photocopiers, filing cabinets, fax machines.
