Administrative Legal Assistant
Waddell Serafino Geary Rechner Jenevein, PC is seeking an administrative legal assistant to work within the construction law practice group in our Dallas office. This role requires an individual who is highly motivated and ready to assist and support all aspects of a busy practice. The work requires knowledge of legal, secretarial and office practices. Responsibilities include preparing correspondence and legal documents; editing and maintaining billing and timekeeping records; assisting assigned attorneys with meetings, hearings and trials; scheduling and calendaring; preparing expense reports and credit card reconciliations; and all other secretarial and basic paralegal activities necessary to help defend our clients in litigation matters.
This position is open in our downtown Dallas, TX office.
Annual compensation is between $40,000 and $55,000 depending upon experience.
Job Responsibilities
· Compose routine correspondence and documents and prepare reports using knowledge of work, instructions and guidelines. Transcribe correspondence and enter attorney time into the billing system from dictation.
· Proofread and correct prepared materials for appropriate grammar, spelling, punctuation and format; file or e-file legal documents with state and federal courts in Texas.
· Open, sort, and distribute incoming mail to attorneys; scan correspondence and documents to electronic format and file electronically to case file and related materials needed for action.
· Review client billing on a monthly cycle and work with the billing department to edit and finalize bills. Ensure that client billing complies with litigation management guidelines. Review invoice detail pages for approvals, adjustments, rejections and appeals for ebilled matters. Work with the billing department on preparing matter budgets and ensuring rate schedules are accurate.
· Respond to inquiries on a variety of matters such as the status of pending cases, billing matters and client account balances.
· Schedule and arrange meetings and conferences and notify interested parties; maintain calendars for assigned attorneys.
· Prepare attorney expense reports, credit card reconciliations, timekeeping records, and other personnel records.
· Establish and maintain office files, indices, legal references, records, and other information in connection with assigned work.
· Handle other duties as assigned.
Minimum Qualifications
· Positive outlook, mindset of a team player, and ability to work well with others is essential.
· Ability to adapt to our firm environment and how our clients want their matters handled and reported.
· Ability to perform work with a high level of accuracy in a high-volume and deadline driven environment.
· Excellent computer skills (MS Word, Excel, Outlook and time/billing software), including scanning and electronic filing of documents.
· Knowledge or familiarity with ebilling requirements, ebilling websites, and LEDES format bills is preferred.
· Demonstrated ability to be a productive self-starter who can anticipate needs, identify problems, find solutions, meet deadlines, and does not need heavy supervision.
· Excellent organization, time management, and communication skills.
Physical Demands and Working Environment
Work is performed in an office environment and involves everyday risks or discomforts, requiring normal safety precautions when performing work. Work requires frequent walking, standing, bending, and carrying items up to 25 pounds.
Regular, predictable, and punctual attendance is required for performance of duties, as well as working occasional extended and unscheduled work hours. Work hours are generally Monday through Friday, with some non-standard business hours during evenings and weekends, as workload may require.
Work requires physical presence in the office; this is not a remote position.
