Job Summary:

The Lease Administrator reports to the EVP, Facilities Management & Real Estate Development and is responsible for the overall tenant database management and recordkeeping. Assist Real Estate Department with the administrative and operational functions of the properties. Specific functions include, but are not limited to, lease tracking, lease file compliance and auditing, bank reconciliations, sales tax requirements and master database maintenance. Also supports internal users on daily tasks.

Key Responsibilities:

  • Upload all tenant required documentation and communication into lease administration software.
  • Input new tenants for Properties in Lease Administration Software, including lease and billing information.
  • Abstract the following into Lease Administration Software: new leases, lease amendments, lease addendums, subleases, ground leases, and management agreements.
  • Audit all tenant lease files to assure compliance with health system policies and procedures.
  • Create charges and reconcile monthly tenant billings, providing detailed support for all changes.
  • Once monthly billing is approved, issue tenant rent statements.
  • Deposit and file all tenant payments.
  • Post changes to tenant ledgers per the Billing Change Notice and Late Fee Calculation forms provided by Property Managers.
  • Reconcile tenant legers and presenting findings to property managers, administrators, and accountants.
  • Prepare and issue delinquency reports.
  • Audit Rent Rolls, communicating any findings.
  • Track and collect tenant COI.
  • Month end close preparation by running reports and performing reconciliations, as applicable.
  • Create charges for Corporate to bill back the properties.
  • Calculate and process monthly sales tax.
  • Reconcile property operating bank accounts in Lease Administration Software.
  • Modify existing Lease Admin reports as necessary; design and build new reports using best practices.
  • Assist with other duties as assigned.

Minimum Qualifications

  • College degree in Business Administration or a minimum of 5 years of experience reading and interpreting real estate leases/contracts.
  • Real estate/paralegal experience required.
  • Accounts Receivable experience.
  • Lease Administration Software Experience required.
  • Flexibility to handle multiple tasks with changing priorities and deadlines, as well as the ability to support other departments.
  • Strong analytic skills with the capability to communicate problems and develop resolutions through research and collaboration.
  • Ability to adapt and quickly learn from new experiences.
  • Work independently and with minimal supervision.
  • Expectation to learn new skills and new responsibilities (passion to learn).
  • Exceptional oral and written communication skills.
  • Team player who consistently exhibits positive attitude.
