The Lead Office Specialist is responsible for ensuring the clinical practice operates in an efficient manner on a daily basis. Trains and instructs all new staff members. Maintains adequate levels of administrative and clinical supplies for the department. Is VFC certified and maintains pharmaceutical stocks in compliance with the program’s rules and regulations. Has received training on the EPMS platform and has assisted in performing EHE preventative exams.
Pediatric
Vaccine For Children trained preferred (training required upon hire)
- Daily temperature log
- Weekly DDL downloads
- Organization and monitoring/updating of VFC orders, inventory, tracking ensuring that practice is compliant with VFC regulations
- Yearly certifications
- Immunet portal
Complete pediatric care including but not limited to:
- Triaging patient
- Vaccine schedule
- Phlebotomy, PKU, immunizations
- Well child routine scheduling
- Organization and monitoring/updating of commercial vaccine orders, inventory, tracking, disposing properly of expired vaccines
Adult
EHE experience preferred (training required upon hire)
- Monitoring EPMS portal and updating EPIC as necessary
- Completing clinical duties within exam appointment: triaging, blood draw, urine sample, EKG, uploading documents into EPMS, etc
- Ordering of supplies
- Confirming appts with EHE patients
- Communication with EHE scheduling and admin teams on changes in provider schedule, patient scheduling issues, etc as necessary
General Adult population
- Monitoring, administering, ordering vaccine/injectable
- Confirming calls, mychart correspondence, refill requests, transferring messages appropriately
- Proactive in scheduling template of provider based on guidelines
- Prior authorizations
- Referral requests
- EKG, phlebotomy, injections, flu and strep swab processing
Education and Work Experience:
High School Diploma or GED
