Job Summary:

The Office of the Chief Administrative Officer (CAO) provides operations support services and business solutions to the community of 10,000 House Members, Officers and staff. The CAO organization comprises more than 600 technical and administrative staff working in a variety of areas, including information technology, finance, budget management, human resources, payroll, childcare, food and vending, procurement, logistics and administrative counsel.


The incumbent is responsible for supporting the Supervisor for Furniture Inventory with the daily operations for the Furniture Resource Management directorate and promoting effective furniture management for the U.S. House of Representatives (House), Office of Logistics and Support. They must have the ability to work without supervision. Major duties include but are not limited to inventory, record keeping, and reconciliation of inventory reports; customer service and outreach; and workforce planning and development. Other duties or special projects as assigned. The position does not have day-to-day supervisory/managerial responsibilities.


Responsibilities:


  • Act as Lead Inventory Specialist to monitor daily tasks for Inventory Specialists and Contractors and assist with training to ensure safe protocol and standard operating procedures are followed.

  • Capture relevant data pertaining to furniture including the history, purchase, finishes, and condition assessment. Conduct periodic furniture inventories of offices and on- and off-site storage facilities to provide timely and accurate data resolution, reconciliation, and disposal reporting of inventories.

  • Process inventory updates relating to movement of furniture between Member, Committee, Support Offices, on-site storage, and off-site warehouses of the US House of Representatives.

  • Provide weekly work reports to the Supervisor.

  • Obtain data and present inventory results, status reports and analyses to directorate management and other senior management officers and stakeholders. Reports to be professionally formatted using word processing and spreadsheet software.

  • Assist with Finish Schedule and Antique and Unique furniture system updates and movement or storage as required.

  • Provide advice and collaborate with teammates regarding questions related to furniture inventory and customer issues and requests.

  • Assist with software and scanner development including testing and research of industry trends and best practices.

  • Assist with transition furniture inventory activities as required.

  • Assist Supervisor to seek and/or develop training opportunities to help staff maintain consistency in furniture inventory and handling.

  • Ensure consistent customer service delivery in a consultative and solutions-based environment to customers and stakeholders through outreach and issue resolution, training and briefings on regulations, procedures, and financial management matters.

  • Deliver excellent customer-service ensuring the availability of support services and provision of accurate and timely information, analysis, and reports.


Qualifications:

  • Proficiency in Microsoft Office Suite, specifically Word and Excel with experience in professional written and oral communication.

  • Professional appearance and behavior with experience interacting with high level stakeholders and clients in a fast-paced environment.

  • Ability to lead/manage cross functional or inter-disciplinary employee work teams and to delegate, direct, and coordinate workload within an organization.

  • Knowledge of internal controls and management reporting; ability to maintain/manage and review disposal records, manage and reconcile inventory, data, and information, prepare various inventory/disposal reports, and ensure quality control.

  • Knowledge of/ability to work with various automated office systems and software programs, including automated inventory systems and state of the art inventory management software programs.

  • Organizational, analytical, consultative, and presentation skills.

  • Ability to maintain confidentiality.
