The University System of Georgia (USG) is comprised of 26 higher education institutions as well as the University System Office (USO). Within the USO, our administrative operations are primarily housed in the Trinity Washington Building located in downtown Atlanta. Our Information Technology Services (ITS) division is located in Athens. The University System of Georgia Shared Services Center (SSC) is located in Sandersville. The Georgia Public Library System is located in Atlanta. The Georgia Archives is located in Morrow. The State of Georgia Records Center is located in Austell.

Job Summary

JOB SUMMARY

The Student Information System (GeorgiaBEST) Director is generally responsible for the overall budgetary, financial, operational, and personnel functions of the administration department. The Director formally directs the work of employees supporting an enterprise level service. This position will report directly to the Academic Services Executive Director.


MAJOR DUTIES


  • Directs the day-to-day operations of an assigned administration department.
  • Coordinates the development, implementation, communication and enforcement of policies and procedures.
  • Interviews, hires, trains, assigns, directs, schedules, supervises, evaluates and disciplines department personnel.
  • Collaborates with USG institutions, other System Office departments, and external constituencies to conduct needs assessments and to recommend and implement solutions to specific issues and concerns.
  • Coordinates the delivery of training as needed.
  • Represents the assigned administration department on a variety of internal and external committees.
  • Prepares reports relating to work in progress in order to document aspects of the development process and progress for potential system-wide implementation.
  • Provides project management oversight, including planning, design and development, and budgeting for multiple system-level projects; manages project activities to ensure project quality and adherence to timelines, budgets and criteria.
  • Prepares reports for system-wide distribution, including budget and project status reports.
  • Participates in system-wide events as an expert in content and practice.
  • Coordinates groups and committees at system institutions and the system office to find solutions to newly identified state-wide issues; leads projects with state, regional and national implications.
  • Manages the performance measurement of department programs and evaluates the quality of services provided through review of reports and statistical data and through conferences with reporting staff.
  • Coordinates special projects, special investigations, and special research projects.
  • Performs related duties as assigned.

SUPERVISORY CONTROLS

  • The supervisor assigns work in terms of administration department goals and objectives. The supervisor reviews work through conferences, reports and observation of department activities.
  • This position has final responsibility and authority for the accomplishment of objectives, utilization of resources, and personnel administration decisions within a major jurisdictional subdivision. Position is accountable for the effective and efficient management of the work to achieve goals and objectives.


COMPLEXITY/SCOPE OF WORK

  • The work consists of management, administrative and supervisory duties. The complex nature of the University System combined with the variety of constituents and stakeholders contributes to the complexity of the position.
  • The purpose of this position is to plan, implement and direct the activities of an assigned administration department. Success in this position contributes to the success of department operations.

  • Contacts are typically with other system office employees; local administrators, faculty and staff, consultants, vendors, contractors, elected and appointed officials, business leaders, and members of the general public.
  • Contacts are typically to give or exchange information, to resolve problems, to provide services, or to motivate or influence persons.


PHYSICAL DEMANDS/ WORK ENVIRONMENT

  • The work is typically performed while sitting at a desk or table. The employee occasionally lifts light objects.
  • The work is typically performed in an office.


MINIMUM QUALIFICATIONS

  • Bachelor's degree required; or an equivalent combination of education and experience.
  • Over five years of related experience managing a team of 5+ required.
  • Enterprise-level program/project management experience.
