Overview:
This is a full-time remote position. Candidates must reside in driving distance to Albuquerque, NM, Phoenix, AZ or Las Vegas, NV for occassional on-site meetings. Responsibilities:
The Intake Associate is a direct report to the Patient Intake Manager. This position is the recipient, and filter of information from multiple departments who will in turn be a single contact for the new client for all communication, updates and concerns.

- Serve as the point of contact for new client referrals and guide families through the intake process and beginning services
- Identify key information for each potential clients and work closely with clinical directors and authorizations coordinators to determine availability of services
- Obtain benefits and eligibility information by contacting the funding source/insurance company and help the family understand their plan details
- Work closely with the authorizations coordinator who will assist the client in the insurance approval process
- Enter all referral and new client information into several databases including but not limited to Central Reach and Active Campaign CRM
- Engage prospective clients to complete all necessary paperwork required to commence services
- Routinely maintain all intake team tracking documents as directed
- Follow all Standard Operating Procedures relating to the intake of new clients, as directed by team Lead, Manager and Director.
- Answer and transfer, as appropriate/necessary, all incoming calls
- Check intake voicemail and take messages as needed
- Monitor incoming marketing campaign and email referrals
- Distribute incoming intake faxes to appropriate department/personnel
- Filing client reports, authorizations, etc. and saving them to the appropriate corresponding file on the network
- Additional responsibilities as requested by Intake/Clinical/Authorizations Departments
- High School Diploma, required
- Remote position with the ability to travel occassionally to an office setting
- A minimum of 2 years prior administrative experience
- Excellent upbeat telephone skills and ability to handle multiple incoming phone lines
- Excellent customer service skills
- Exceptional communication skills
- Strong software proficiency with Microsoft Office Suite (Word, Excel, and Outlook)
- Ability to quickly learn new software programs as needed
- Proven ability to multi-task, prioritize and organize effectively
- Strong attention to detail, accuracy, and follow-through
- Spanish bi-lingual highly preferred
