TEMPORARY POSITION
JOB SUMMARY:
To coordinate and directly support the administrative and business management activities of the Internal Medicine department.
Special Skills or Experience Required:
Provides administrative support to divisional faculty and administrative team Must have exceptional organizational, communication and multi-tasking skills.
Proficient in Microsoft Office (ie, Outlook, Excel, Word and PowerPoint).
Training in UTMB systems/processes, PeopleSoft-Expense Reports, Travel Authorizations, etc.
Previous
experience providing
administrative support
to
faculty or administration is a must.
JOB DUTIES:
- Submits orders and reimbursements in PeopleSoft
- Composes, types, and proofs finished copies of confidential correspondence
- Coordinates travel arrangements for faculty
- Maintains faculty calendars and coordinates meetings
- Plans special events
- Tracks information for routine updates and requests
- Supports faculty with regard to maintaining medical license, certifications, CME credits, hospital privileges, etc .
- Back-up for maintaining schedules for clinical faculty
HCSS is the in-house staffing agency for UTMB, TRS benefits do not apply.
PREFERRED SKILL/COMPETENCY
- Proficient with MS Word, Excel, and PowerPoint
- Proficient in PeopleSoft Financials
- Ability to multitask
- Excellent communication and organizational skills
- Must work well both independently and as part of a team
- Self-motivated
- Ability to actively listen and professionally communicate with others to achieve mutual goals.
- Ability to coordinate multiple tasks while meeting established deadlines and quality standards.
- Skilled in customer interactions.
- Ability to provide administrative direction and management to support systems.
- Ability to effectively communicate both verbally and in writing.
- Ability to work independently.
REQUIRED EDUCATION / EXPERIENCE:
- Bachelor's degree, or equivalent combination of education and administrative experience.
EQUIPMENT:
- Standard office equipment including knowledge of various software applications (i.e. Word, Excel, Access, PowerPoint etc.).

Includes intermittent physical activity such as bending, reaching and lifting up to 10 pounds.

- Noise level in the work environment is usually moderate.
