Primary Function: *

The weekend Unit Secretary aids staff with the day-to-day management of the unit, performs clerical and reception duties including computer input, receiving incoming telephone calls and aiding triaging referrals to the Hinkle Hospice House and Home Care Clinical Services. Accurately and efficiently coordinates the admission and death process. Maintains harmonious working relationships within an interdisciplinary team setting.

Qualifications: *

High school diploma or equivalent; associate degree preferred.

  • Minimum 1-2 years office/clerical experience preferably in a Hospice environment.
  • Medical Office Assistant degree and/or Certification as a Nurse Assistant desirable.
  • Ability to access and utilize the agency computer network.
  • Proficient in Microsoft applications and accurate key boarding skills.
  • Ability to meet and deal with the public in a positive and helpful manner.
  • Willingness to maintain and increase professional skills and knowledge.
  • Ability to work interdependently and as a team player.
  • Commitment to the Hospice concept and standards.
  • Ability to utilize the office telephone system.
  • Must be able to interact with patients, family members, visitors, co-workers, and medical staff under a variety of circumstances and remain calm and professional.
  • Ability to handle numerous interruptions and still complete tasks in a timely manner and in a calm manner with a positive and helpful attitude.
  • High skill set with high attention to details in dealing with the contents of the medical record.
  • Regular, reliable attendance is essential.
  • Must be current in health immunization requirements of North Carolina and Hospice of Davidson County.

Job Duties: *

  • Serves as the receptionist to the Hinkle Hospice House.
  • Answers and directs incoming phone calls for Hospice House with a positive and helpful attitude.
  • Triages Clinical Calls for Home Care building if needed.
  • Monitors the need of office supplies and other unit needs and communicates those needs appropriately to the supervisor.
  • Triages transfers in and out of building and admissions to the inpatient unit and/or home care program, coordinates with on- call personnel in a collaborative and professional manner.
  • Recognizes the need for maintenance repair for Hinkle Hospice House and/or Home Care and completes requests as needed in a timely manner.
  • Assists in staffing the IPU unit as requested by Clinical Supervisors. This includes:
  • staffing needs based on census
  • staying in touch with weekend RN supervisor on call
  • sending out daily census report twice per shift, 7am and 5pm preferred.
  • Assists Hinkle Hospice House Director of Inpatient Services with hospice aide and RN schedules.
  • assist with finding coverage
  • keep schedules updated and available to staff
  • Enters stock narcotics into Excel Spread Sheet and keep stored in P-drive.
  • Builds charts for new admissions and breaks charts down after discharge in a timely manner.
  • Effectively and accurately explains hospice services to referral sources in a manner that is easily understood.
  • Assists in completing referral forms and enters referral data into EMR, including generating referral and admission for assessment visit.
  • Assists in obtaining hospice order and verification of prognosis and requests medical records on pending assessments as needed by weekend liaison.
  • Verifies attending physician’s license via North Carolina Medical Board website.
  • Verifies prior hospice eligibility and notifies appropriate staff if face-to-face visit is needed.
  • Produces letters and other materials needed and/or requested by clinical supervisors.
  • Maintains and monitors triage book and level of care book in a timely and accurate manner.
  • Performs the Deceased Notification process in an accurate and timely manner.
  • Assists in maintaining a clean, pleasant work environment at Hinkle Hospice House and Home Care Program as needed.
  • Consistently enters pertinent patient information into EMR with efficiency and accuracy.
  • Acknowledges importance of team awareness across all settings and discipline. Displays a positive and helpful attitude.
  • Addresses patients, co-workers, all healthcare professionals, families and visitors in a pleasant and respectful manner.
  • Demonstrates the ability to remain calm, friendly and cooperative during all work conditions.
  • Conveys instructions, directions, and information to patients, co-workers, healthcare professionals, families and visitors in a manner that is easily understood.
  • Consults with immediate supervisor as issues and concerns arise while maintaining consistent and concise lines of authority.

  • General Safety/Hazardous Materials
  • Patient/Staff Relations
  • Maintains a safe and clean work area to promote work place safety.

  • Follows all policies and procedures.
  • Maintains confidentiality Protected Health Information (PHI) at all times.
  • Documents services and expenditures for reimbursement purposes.
  • Performs other duties assigned by a Clinical Supervisor.

Status and Hours of Work: *

This position is classified as non-exempt. Usual working hours are every weekend day hours (Friday-Sunday). This position is eligible for overtime pay should it occur.
