Job Description

Facility Contract Services is a Florida based contract services company, responsible for the employment and management of personnel for municipal clients. Facility Contract Services is currently seeking dynamic and goal-driven employees for the City of Pembroke Pines Micrographics Division. This exciting opportunity in the City of Pembroke Pines operates 4 days a week (Monday through Thursday 7:00 A.M. to 6:00 P.M.) and offers excellent benefits including health insurance and 401(k) with a Company match.

Job Summary

Under the general supervision of the City Clerk or designee, performs clerical and technical work involving the operation and daily maintenance of scanners, microfilm library, film duplication equipment and hard copy retrieval equipment. Work is performed independently within established policies, procedures, and regulations and is reviewed during progress and upon completion for accuracy and adherence to procedures.

Primary Responsibilities

  • Receives, reviews and prepares documents and files for digitizing; types labels; removes staples; adds certifications, film roll identification, prep and index film
  • Quality controls digitized output and processes records for document repository; proofs microfilm against original file and/or documents; splices films; indexes
  • Maintains records of microfilm work performed, jobs in progress, and copies purchased for monthly
  • Maintains inventory of all equipment and supplies; may assist in maintaining the office and building; may load and unload boxes and other equipment pertinent to the microfilming
  • Scanning, indexing, quality control of scanned documents with comparisons to source Identifying records for scheduled records retention.
  • The Clerk’s Office cross-trains new hires to facilitate the availability of backup coverage for cashiering staff.

Requirements

Training and Experience:

High school Diploma or GED; supplemented by six (6) months of responsible clerical experience including work with computers and with photographic and microfilm equipment; or an equivalent combination of training and experience.

Knowledge, Abilities and Skills:

  • Knowledge of archival standards for the digitizing of public records and files.
  • Micrographic/DigitizerTechnician I
  • Knowledge of regulations governing work with documents and proper filing methods of work area assigned.
  • Knowledge of office procedures and practices.
  • Ability to maintain security and confidentiality of all documents, records, and other related materials.
  • Ability to understand and follow written and oral instructions.
  • Ability to pay close attention to detail and to follow an established procedure accurately.
  • Ability to work with minimal supervision with reliability.
  • Ability to establish and maintain effective working relationships with superiors, other employees and the public.
