Job Title: Front Office & Program Administrative Support

Program: Detox Center

Shift: First – Full-time (40 hours)

Job Hours: 8:30AM to 5:00PM - Monday through Friday, occasional Saturdays - Flexible hours.


The base location for this position is:
Covington, GA

View Point Health Adult Residential Substance Detoxification is a short-term, 24/7 acute care, detox unit located in Covington, GA. Care is primarily focused on supervision, observation and support for individuals during withdrawal management. Residential Withdrawal Management is characterized by its emphasis on medical monitoring and/or on peer/social support.

The Front Office & Program Administrative Support is the administrative liaison for Residential Detox Center under a program manager and serves as primary contact and resource to program staff, clients, and visitors for administrative information and technical assistance. Responds to questions, requests, or needs based on specific knowledge of the program and its operations.

The Front Office & Program Administrative Support is responsible for overseeing patient flow and ensuring the center’s administrative needs are being met. Resolves routine administrative problems independently and registers new clients during intakes and transitions of care in a timely manner, assists with linkage to community resources, schedules and tracks appointments with VPH providers, and answer telephone calls in a professional and courteous manner.

This position will maintain databases, logs, and other records of routine information. Responds to requests for information and maintains organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information.


Duties & Responsibilities:

  • The Front Office & Program Administrative Support provides a variety of routine clerical functions within a mental health office setting within our Specialty Services AD programs
  • Manage lobby entrance including members, visitors, staff.
  • Answer telephones and respond to inquiries about services
  • Works in a fast-paced environment that requires multitasking, excellent customer service & interpersonal skills to greet clients & visitors promptly and courteously
  • Completes Point of Entry (POE) intake flow to include consents for services, release of information, financial application, etc.
  • Answer multi-line phones, schedule appointments, , data entry, scans/downloads info into ECR, and handles client’s questions and concerns
  • Schedule intakes, doctor, nurse appointments; manage appointment reminders
  • Communicate assignments, messages, and other information to program staff
  • Maintains monthly DBHDD Programmatic Reports
  • Order supplies using Multiview
  • Manage credit card receipts, and assist with reconciliation of PCard purchases
  • Manage Time Clock program serve as Leave Keeper, and report hourly payroll to Business Office; Consults with supervisor to resolve issues. Provide technical assistance as needed
  • Inform program manager of any abnormalities or trends revealed by the program data
  • Communicates and work collaboratively with team members, attend team meetings as necessary, and meet with supervisors to discuss performance.
  • Assist with Access/Triage support for Residential Detox Services as needed
  • Other duties as assigned

Requirements/Competencies:

  • Must be able to lift 20 pounds
  • Requires long periods of sitting/standing
  • Must have valid Georgia driver’s license and Motor Vehicle Record in accordance with company policy
  • Candidates for selection must pass a criminal background check (including fingerprinting)
  • Must pass a pre-employment drug screen and subject to random drug screens
  • Any combination of training and experience, which would have enabled the applicant to acquire the necessary knowledge, skills and abilities Note: Some positions may require a valid driver's license


Qualifications:

  • High School Diploma
  • Minimum 1 year experience working in a medical/mental health setting

Preferred Qualifications:

  • Minimum 1 year experience working in a medical/mental health setting
  • High School Diploma
  • Outgoing, engaging and personable communication skills
  • Experience working in a medical or psych office, or DBHDD
  • Experience using Carelogic or other electronic record system
  • Excellent computer skills including familiarity with Microsoft Word, Excel, and Med Terminology are essential
  • Highly organized and detail oriented
