Downtown Chicago facial plastic surgery practice is seeking a Front Desk Coordinator with a strong customer service and sales background, to join an established but growing Facial Plastic Surgery and Aesthetics practice. This practice is owned by a board-certified, well-respected, facial plastic surgeon and specializes in facial procedures, skin resurfacing, fillers and injectables such as Botox, medical esthetics services and more.
The winning candidate must be willing to work in a hands-on fashion, doing "whatever it takes" to help the team grow. There must be a focus on patient care coupled with a strong desire to assist in the growth of the practice. The winning candidate should be be comfortable and capable working with a team as well as independently. Relationship-building ability as well as a positive attitude and friendly demeanor is a must.
Responsibilities:
Primary responsibilities are patient scheduling, inventory management, product/treatment and service sales. This position also involves patient check-in and check-out, providing friendly, efficient, and knowledgeable service ensuring patients have an amazing overall experience.
Responsibilities include but are not limited to :
- Contributes to the team to achieve financial, operational and customer service goals. Adheres to proper sales techniques, policies, and procedures.
- Responsible for operations, sales, and service: including opening and closing the office as scheduled and keeping the appearance of the office inviting.
- Assists in administrative tasks, including management of medical records.
- Assists in maintenance and cleanliness of facility
- Maintains knowledge of surgical procedures, esthetic services and product lines in order to provide accurate information to patients.
- Meets assigned targets for profitable sales growth in treatments and product lines.
- Utilizes computers with skill and proficiency and quick to learn new programs.
- Communicates effectively with the practice team, physician, and management.
- Answers phone calls, addresses patient questions, and speaks in a courteous and professional manner.
- Checks-in and checks-out patients in a timely, accurate and professional manner.
- Accurately schedules, changes and cancels appointments.
- Provides assistance to providers as needed especially in regards to rooming patients, readying treatment rooms, and keeping appointments running on time.
Skills and Requirements:
A minimum of three years of sales and patient care/customer service experience in a plastic surgery, retail, salon/spa, dermatology, or hospitality environment.
- Strong sales experience, with a proven track record of meeting sales goals.
- Must be able to multitask and work in a fast-paced environment as well as be detail-oriented. Ability to effectively communicate with patients on treatments, specials, practice policies and procedures as well as with physicians/management regarding operations.
- Strong computer and typing skills including fluency in Word, Excel, email, as well as previous experience with marketing.
- Knowledge of skin care products and the medical spa industry strongly preferred.
Pay Structure, Perks, and Benefits:
- Base salary of $45,000 with commission and bonus opportunity.
- Positive work environment working with the doctor and practice team. Trust is placed to work independently several days per week.
