Job description
The District of Columbia College Access Program (DC-CAP) is a nonprofit organization whose mission is to increase the number of Washington, DC, public high school students who enter and graduate from college. Seeking detailed oriented, motivated, energetic individual to provide office management support to the DC College Access Program. Successful candidate will be highly professional, self-motivated, organized, detail oriented, able to manage multiple tasks and have an interest in higher education.
Responsibilities:
- Initial point of contact for the organization for people calling and coming into the office.
- Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Initiate the accounts payable process through receiving and getting the invoices into the bill.com system.
- Support the President and CEO with tasks as requested (i.e. preparing letters, presentations and reports, etc.).
- Compile and produce the books and presentations for the quarterly Board Meetings. Coordinate with members of the board and their assistants to assemble an attendance list and liaise with the Chairman’s assistant to assemble peripherals needed for the meeting. Assist at the Board Meeting by directing Board Members to the correct meeting room.
- Supervise and coordinate overall administrative activities for office administration.
- Supervise the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
- Purchase office supplies and furniture, office equipment, etc., for the staff in the main office.
- Responsible for the facilities day-to-day operations.
- Participate as needed in special department projects.
- Participate as needed at DC-CAP special events, which may include working on some weekends or after regularly scheduled hours.
- Contribute to team effort by accomplishing related results as needed.
Qualifications:
- Bachelor’s degree required
- Proficiency with Microsoft Office Suite
- Experience in administration, human resources, executive assistant and/or office management positions
- Strong analytical, organizational and communication skills
- Experience in education and nonprofit organizations a plus
