FIELD TECH & PRODUCT SERVICES COORDINATOR

SECTION I: GENERAL OVERVIEW AND REPORTING

The Field Tech & Product Services Coordinator provides administrative support for the Field Tech and Product Services Department and reports to the Field Tech and Product Services Director.

SECTION II: DUTIES AND AREAS OF RESPONSIBILITY

The primary duties of the Field Tech & Product Services Coordinator consist of, but are not limited to, the following:

1. Field Technical Support administrative responsibilities:

  • Proofread and edit digital documents and hard-copy letters (such as Field Activity Reports, Punch lists, etc.), to ensure correct spelling, grammar, and punctuation, and finalize/send to recipients.
  • Document special projects for Field Technical Support Staff.
  • Route copies of internal and external technical correspondence to correct parties.
  • Assist the Field Technical Support Department with projects or requests, including coordination of demo and training sessions (internal and/or external).
  • File documents (hard and soft copies) generated by the Field Technical Staff appropriately.
  • Assist with documentation, coordination, and payment of/for non-leak-related CCRs.
  • Assist with developing action plans for the Field Technical Support Dept.
  • Compile and retain performance standards of Field Technical Dept.
  • Assist Field Tech & Product Services Manager with presentations.

2. Product Services administrative responsibilities:

  • Proofread and edit digital documents and hard-copy letters and finalize/send to recipients.
  • Document special projects for the Field Technical and Product Services Manager.
  • Assist in the generation/maintenance of Commercial Product Data Sheets.
  • Assist in the generation/maintenance of Safety Data Sheets.
  • Coordination of labeling/packaging for new products and those that require updating. This includes collecting label templates and copy, coordination of the RCN process (internal approval), working with the vendor that generates translation, finalization of labels, submitting finalized labels to plants/vendors, and associated archiving.
  • Assist with documentation and retention of vendor agreements and pricing.
  • Assist with developing action plans for the Product Services Department.
  • Assist in generating and maintaining Price Lists.
  • Organize & maintain a library of documents for product services. Back-up for quoting specialty products such as rigid insulation, insulation fasteners/adhesives, pavers, and green roof components.

3. Occasional substitute for Field Tech/Product Support/Inside Tech team members, as designated, during absences from work (i.e., vacations, personal days, etc.).

4. Other duties and special projects as assigned by manager.

SECTION III: MINIMUM REQUIREMENTS/QUALIFICATIONS

  • High school diploma or GED.
  • 3+ years of office administrative experience.

SECTION IV: PREFERRED QUALIFICATIONS

  • Proven experience with detail-oriented tasks and team-oriented projects.
  • Outstanding attendance and reliability; Solid work history and history of dependability.
  • Excellent communication and interpersonal skills (in-person, phone, and e-mail).
  • Extensive knowledge of, and proven ability with, Google Suite strongly preferred (Google Docs, Sheets, Slides).
  • 45+ wpm typing skills.
  • Ability to generate non-technical letters.
  • Excellent research & problem resolution skills.
  • Excellent organizational skills, initiative, accuracy, and ability to multi-task efficiently.
  • Resourcefulness to work independently and exercise good time management skills.
  • Ability to proactively identify and resolve issues.
  • Ability to maintain confidentiality of sensitive information.
  • Ability to work occasional overtime if needed.
  • PeopleSoft, Salesforce, and/or CartaAP experience a plus.
  • Bilingual (English & Spanish) a plus.

SECTION V: PHYSICAL REQUIREMENTS

  • Must be able to work in a sitting position for extended periods of time.
  • Visual acuity to read documents, computer screens, and files.
  • Manual dexterity to perform data entry and filing functions.
  • Ability to bend, pull, and reach to perform filing functions.
  • Ability to hear and speak on the phone.
  • Ability to lift up to 30 lbs. as needed (e.g., file boxes)
