The Opportunity
  • Salary range is $26.48 - $33.10 per hour.
  • Responsible for the successful delivery of tenant improvement projects across the project life cycle.
  • Ensure constant monitoring of schedule and budget adherence.
  • Identify and mitigate project risks.
  • Escalate and resolve issues and obstacles.
  • Ensure all required documentation is created and maintained.
  • Prepare and update estimates and track budget-related documents.
  • Report on project success criteria results, metrics, test, and deployment management activities.
  • Govern scheduled team deliverables for costs and timing.
  • Prepare estimates and detailed project schedule with assistance from project assigned subject matter experts (SME's) for all phases of the project.
  • Procure adequate resources to achieve project objectives in planned timeframes and escalate resource constraints, as needed.
  • Manage the day-to-day project activities and resources. Research and engage viable vendors using procurement standards and best practices.
  • Obtain multiple quotes and service terms to determine and recommend best vendor selection.
  • Coordinate with onsite staff to ensure interruption to office is minimal.
  • Collaborate with internal departments, property managers and landlords for approvals and documentation.
  • Evaluate site location specific needs and make recommendations.
  • Coordinate with Marketing for signage needs and ensure vendor completion to Vituity standards.
  • Troubleshoot minor maintenance issues associated with the building and office equipment.
  • Perform basic maintenance associated with the building, painting, plumbing, and electrical.
  • Re-positioning or installation of office equipment or furniture.
  • Collaborate with an outside contractor to make a repair or request replacement.
  • Perform a facility review to determine repair and maintenance needs.
  • Receive shipments, stock and maintain warehouses.
  • Monitor and resolve facilities ticketing requests timely.
  • Work collaboratively with an external security company.
  • Monitor environment to ensure adherence to safety policies.
  • Prepares and maintains maintenance records and reports.
  • Approves invoices up to a pre-determined dollar value.
  • Acts as company liaison for public utility, environmental, and energy agencies.
  • Manages vendor relationships with security staffing and janitorial services.
  • Manages Fire Alarms, Burglar Alarms and Liebert Alerts for Server Rooms.
  • Assists with emergency power shutdown.
  • Responsible for meeting room set-up and tear-down that will include moving of tables & chairs and may include audio visual set-up.
  • Responsible for supply, freight and common area organization to maintain a professional & well-ordered appearance.
  • Responsible for addressing facilities inquiries or requests from employees or vendors in a timely manner.
  • Move and assemble office furniture as required.
  • Assist with cubicle reconfiguration and changes with vendor
  • Assist with processing of all on-site storage requirements and maintain organized on-site storage areas.
  • Contact point for training of employees on office equipment such as copiers, binding machines, scanners and folding machines.
  • Responsible for stocking and maintaining inventory of all kitchens, honor bars and meeting room supplies, including dishes and dishwashers.
  • Responsible for maintaining all printer areas with supplies and tracking inventory for all photocopiers and fax machines.
  • Responsible for maintaining proper stock and organization of shipping supplies.
  • Process parcels using UPS, Federal Express and Priority Mail through on-line systems.
  • Process all out-going mail, including mass mailing for the organization using Neopost equipment.
  • Timely delivery of incoming mail.
  • Contact for all space planning requests.
  • Lead and facilitate the Safety Committee and Emergency Response Team.
  • Assist new employee safety orientations/tours, first aid/CPR classes and administer safety quiz.
  • Lead and deliver monthly new hire orientation and monthly tour.
  • Assist as needed for all Safety Committee and Emergency Response planning and communications.
  • Lead and facilitate all badging access management and security needs.
  • Lead and facilitate all HiTrust requirements and reporting.
  • Ensures safety program and goals are implemented and carried out in assigned areas of responsibility; enforces compliance with all applicable environmental health laws, regulations and guidelines.
  • Provides technical assistance to staff in work methods, use of tools and equipment and relevant safety precautions.
  • Enforces safe practices throughout the facility.
  • Schedules, implements and oversees fire drills on an annual basis.
  • Oversees the maintenance of fire extinguishers and meets with fire marshals for inspections, as needed.
  • Oversees parking lot and building safety.

Required Experience and Competencies
  • Associates Degree required or a combination of education and work experience that demonstrates the attainment of the required competencies.
  • Minimum of 5 years of experience with increasing responsibility in facilities, maintenance, or related field required.
  • Experience managing or coordinating projects within a matrixed environment.
  • Must possess and maintain a current, valid Driver License.
  • Obtain and maintain First Aid and CPR Training certificates.
  • Bachelor's degree in related field of study; or equivalent professional work experience preferred.
  • Certificate from a trade or vocational school related to building maintenance or similar preferred.
  • 3 - 5 years' experience working as a maintenance technician, handyman or general facilities repair technician preferred.
  • 2-5 years Project and Vendor management experience preferred.
  • Basic knowledge of maintenance tools for repair and service.
  • Ability to demonstrate effective customer service skills with internal and external customers.
  • Self-motivated to work independently.
  • Ability to work collaboratively with other departments.
  • Possess strong interpersonal skills to work within a team environment.
  • Strong organizational skills.
  • Possess a professional demeanor.
  • Solid communication skills.
  • Ability to read, comprehend and act on simple instructions, short correspondence, and memos.
