BASIC PURPOSE

The purpose of this position is to assist management by analyzing and coordinating facility, equipment and vehicle maintenance. The position includes the supervision of custodians and maintenance staff. The Facilities Administrator needs to assist with budget control, contract compliance, reports, records control, at times the physical completion of maintenance items and special management studies. Additionally, the Facilities Administrator is expected to respond to any property related emergencies in a timely and effective manner.

To ensure that all accounting procedures for the individual entities in Sacramento County adhere to Salvation Army policy and that normal accounting standards are followed.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Supervises all employees in the Facilities Department of Social Services.
  • Responsible for the overall direction, coordination, and evaluation of these units.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include: planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
  • Oversee all physical plant management services at Sacramento’s Social Services facilities and the Alhambra Campus.
  • Oversee all maintenance, janitorial, landscaping, equipment and vehicle maintenance operations of each facility. Custodial staff of the Alhambra Campus are under the direction of the Alhambra officers.
  • Provide administrative support to management personnel.
  • Study management methods in order to improve the effectiveness and efficiency of all property, vehicles and equipment operations.
  • Order all items/materials relevant to property, vehicle and equipment operations.
  • Coordinate collection and preparation of operating reports such as time and attendance records, terminations, new hires, transfers, licensing, safety drills and safety report.
  • Maintains employee files and assists with personnel related paperwork, forwarding necessary documents to Sacramento Social Services Human Resources contact.
  • Direct services such as office equipment maintenance and repair, supplies, mail and files.
  • Assists with supervision of all Facilities Maintenance personnel (facility maintenance, custodial and grounds keeping) and activities.
  • Assist in coordination of the Christmas effort.
  • Assist management in vendor management, negotiations, collection of bids and contractor oversite as requested by management.
  • Other related duties as assigned.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS

  • AA Degree: three to five years related experience and/or training; or equivalent combination of education and experience.
  • Three to five years of demonstrated supervisory experience is preferred.
  • Knowledge of The Salvation Army and its organizational structure and familiarity with its social services is desirable.
  • Ability to read architectural renderings and oversee various sized construction or renovation projects.
  • Strong ability to utilize a high level of time management and handling multiple tasks.
  • Must have excellent organizational skills and ability to track and present very accurate information.
  • Ability to work independently and with minimum of supervision.
  • Ability to maintain good rapport and communication with other staff members, employees and the public.
  • Excellent communication skills, both written and verbal.
  • Ability to speak and write the English language at a professional level.
  • Ability to maintain a high degree of confidentiality
  • Must have working computer knowledge of Microsoft Office (Word, Excel, Outlook).
  • Must have ability to empathize, communicate and work with a variety of people from diverse backgrounds.
  • Ability to professionally and accurately operate in a work environment with multiple priorities.

CERTIFICATES, LICENSES, REGISTRATIONS

  • Must possess a valid California Class C Driver License, and ability to drive a Salvation Army vehicle
  • Must be 21 years or older.
  • Authorize The Salvation Army to add name to the CA DMV Pull Notice Program
  • Complete The Salvation Army vehicle course training.

PHYSICAL REQUIREMENTS:

  • Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis
