xecutive Assistant to the Head of School
The Executive Assistant to the Head of School position requires an individual who enjoys a fast-paced administrative office setting, and who offers exceptional interpersonal, organizational, communication, and computer skills, as well as a high degree of professionalism and discretion. Duties are varied throughout the calendar year and include providing administrative support to the Head of School, managing projects and representing the Head’s Office at meetings.
This position reports to the Head of School
ABOUT THE POSITION
Responsibilities include, but are not limited to:
Provide administrative support to the Head of School
- Screen, prioritize, and respond to communication from students, parents, faculty, staff and other constituents; draft confidential letters, memoranda, newsletters, and presentations;
- Prepare visual aids for meetings and presentations; facilitate information sharing among administrative departments; organize files (paper and electronic).
Manage schedule for Head of School
- Create, review, and adjust schedule of the Head of School; communicate and coordinate
- Schedule with other departments; ensure Head’s timely arrival and departure from meetings. Prepare agenda and materials in advance.
Coordinate events hosted by Head of School
- Plan and schedule logistics for Commencement and other events, communicate with supporting departments, participants and guests; M
- eet with spouse of Head of School to coordinate event planning and responsibilities.
Coordinate travel for Head of School
- Schedule appointments; confirm travel accommodations and transportation; communicate with relevant departments and other stakeholders.
Support activities of the Board of Trustees
- Maintain Board communication, contact lists, and biographies; update Trustee portal and other Trustee communications.
- Schedule and support Board meetings, committee meetings, and events; coordinate preparation and distribution of agendas and supporting documents; solicit and coordinate participation and documents of relevant departments and participants.
Support activities of the Administrative Team
- Schedule and support Admin Team meetings and events; coordinate preparation and distribution of agendas and minutes; solicit and coordinate participation of relevant departments and participants.
- Inform Head of School of upcoming events and meetings; update calendar continuously; identify and resolve scheduling conflicts; schedule use of facilities by outside organizations.
Perform other duties, research, and projects as assigned by the Head of School
QUALIFICATIONS
- A high school diploma or GED, bachelor’s degree preferred
- 3-5 years working in professional/educational business office environment
- Collaborative approach, willing to work closely with colleagues both in and outside of the department
- Facility with technology including Microsoft tools, Outlook, and Google apps
- Flexible, resilient, and creative working within a fast-paced environment
- Strong written and verbal communication skills
- Outstanding interpersonal skills and a track record for building strong relationships with colleagues
- Strong analytical skills and an ability to learn new systems quickly
Full time year round exempt position.
