JOBThe State Crime Lab is seeking a well -organized professional level Executive Assistant to provide support to the Director and Assistant Directors of the Crime Lab. This is a great opportunity for an individual who is adept at balance multiple priorities within a high profile organization. The Crime Laboratory consists of thirteen (13) forensic laboratory and support sections located in three (3) geographic locations (Raleigh, Greensboro and Edneyville), with a total of 214 employees. The laboratory provides: Consultation on the value, use, collection, and preservation of evidenceAnalysis of evidenceExpert testimony in court proceedingsAssistance collecting evidence and processing crime scenesRead more about the lab here: https://ncdoj.gov/crime-lab/PUBLIC CONTACTThis professional position requires someone comforable with public contact both internal and external to the organization providing support to the office of the Director; iteracting with the crime laboratory criminal justice partners and the public at large, including law enforcement officials, news media, community college system, court system and laboratory employees and will independently answer questions when possible.Schedule and coordinate appointments and make travel arrangements for the Director.Schedule and arrange laboratory tours for various law enforcement and civic groups. Serve daily as communication liaison between the Director and Assistant Directors and the Crime Laboratory staff .Establish and maintain a rapport with Crime Laboratory secretarial staff This position assists the Quality Manager with scheduling Mock Courts for staff. RECORDS AND REPORTSThis position is responsible for the review, verify and compute a variety of activity summary reports from laboratory supervisory personnel, some of which include acitivity summary reports, monthly vehicle mileage and expense reports, expense accounts for laboratory supervisors; maintain and periodically update the State Personnel Manual, District Attorney Roster, Sheriff/Police Officer roster, and the Crime Laboratory Employee Photo Identification Book.ACCOUNTS PAYABLEInvoice Review, Audit and Keying: This position is responsible for reviewing invoices from vendors. COMPOSITIONCompose and format letters a variety of letters on behalf of the Director and Assistant Directors of the State Crime Lab. Some are standard template and some letter are specific to an event or issue.Compose minutes from Manager/Supervisor meetings.Complete all human resource support activities for the crime laboratory: Renewal paperwork necessary for contract employees;Create & maintain organizational charts;Receive from sections and prepare lab director responses and/or endorsements for personnel actions (reallocations, promotions, negative personnel actions, etc.)Review and submit job description revisions and updates;Receiving resignation or retirement letters and completing approrpriate paperwork for the Lab as well as DOJ HR;Planning and coordinating retirement functions.OTHER ASSIGNMENTS: Work requires contact with program staff, managers of other units within the organization, representatives of other state agencies/universities, clients, service recipients, elected/appointed representatives, and the public. One example is the organizing, planning and coordinating the quarterly Forensic Science Advisory Board meetings. THE STARTING SALARY FOR A NEW HIRE TO THIS POSITION IS LIMITED TO THE RECRUITMENT RANGE OF $41,429 to $64,732. Salary determination is based upon the candidate's education and experience related to the position, as well as departmental budget and equity considerations. Note to Current State Employees: The salary grade for this position is NC11. State employees are encouraged to apply for positions of interest even if the salary grade is the same as, or lower than, their current position. Please detail ALL work history including non-state service experience. If selected for this position, a new salary will be recalculated taking into consideration the quantity of relevant education and experience, funding availability, and internal equity. Based upon these factors, a pay increase MAY or MAY NOT result.Selected candidate will undergo and must successfully complete a comprehensive background investigation which may take several months to complete. The background investigation includes: credit and arrest checks; interviews with associates, personal and business references, past employers and neighbors; verification of education achievement, and urinalysis drug screening and polygraph.Out of state applicants may be required to return to the lab several times at their own expense. MINIMUM QUALIFICATIONS
Bachelor's degree, preferably in business administration or a related discipline from an appropriately accredited institution;or Associate s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience;or High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; or an equivalent combination of education and experience.
