Executive Assistant needed for a top-ranking Commercial Real Estate Team in the Los Angeles area. With the help of this individual, the specialists and other members of the team are hoping to focus more on what they do best and much less on the back-end/daily administrative tasks. We are looking for an exceptional candidate willing to go above and beyond.
The ideal candidate will possess a background in Real Estate; however, this is not a requirement. The candidate should have a proven track record of creating and implementing systems and procedures in an office atmosphere. This person will have a strong sense of urgency and must enjoy "to-do lists". The ideal candidate will work well with minimal supervision, gradually taking on more responsibility and leadership within the team.
The long-term goal is for this role to transition from an Executive Assistant to a Director of Operations who oversees day-to-day operations; maintains the company’s financial health, and manages the growth of other individuals within the company. This is a fully remote position, but applicants must be East or West Coast based due to business needs.
Compensation:
- Salary Range: $65,000 - $75,000
- Paid Time Off (PTO)

Responsibilities:Administrative:
- Assisting and supporting the executives in all areas needing assistance.
- Maintaining database management system(s).
- Screening and directing phone calls; distributing correspondence.
- Handling requests and queries appropriately.
- Scheduling meetings and appointments.
- Pull comps to support Asset Manager.
- Answer questions from Accountants regarding taxes.
- Send documents for our existing loans to Lenders to meet annual covenants.
Acquisitions:
- Work with Partners to iteratively underwrite properties that we are considering for purchase.
- Secure on-time building inspections, environmental reports, surveys, and title policies.
- Work with Marketing to market vacant space.
- Work with Asset Manager to test market leasing demand.
- Work with Asset Manager to develop construction plans.
- Create special-purpose entities.
- Handhold Lenders and appraisers to secure on-time loans. This includes providing marketing material for the lender, filling out lender forms, collecting comps, and project managing their checklists.
- Work with Partners to develop each project’s business plan including construction plans, leasing strategy, financing strategy, and underwriting risk-return.
- Work with Lawyers to resolve conflicts with title, survey, lender, and sellers.
- Seek and secure approval for project business plans.
- Successfully close 1 - 2 projects per year.
Refinances:
- Seek and secure approval for refinance loan options.
- Handhold Lenders and appraisers to secure on-time loans. This includes providing marketing material for the lender, filling out lender forms, collecting comps, and project managing their checklists.
Disposition:
- Collect market data, comps, property financials, and property images/videos.
- Build for-sale marketing material.
- Work with Brokers to sell properties.
