Executive Assistant Pay: $70,000 - $80,000

Hours: 8:00am - 5:00pm

Executive Assistant Position Overview:

Serves as the administrative and functional point person for the President & CEO’s business, community and personal matters to ensure smooth functioning of activities and processes across multiple business units. Requires full time availability and flexible hours. Requires a desire to learn and expand responsibilities. Assistant will have an opportunity to learn about all aspects of the work and operations of this logistics and supply chain operation. Requires strong organizational skills and MS Office Suite literacy. This position will develop positive and strategic relationships at all levels of the organization while using discretion, sound judgement, and knowledge of the organization to facilitate the President & CEO’s activities and maintain confidentiality.

Executive Assistant Responsibilities and Duties:

  • Reports directly to President & CEO
  • Strategically coordinates and maintains President/CEO’s schedule while prioritizing, and coordinating complex meeting management (internally and externally); making travel arrangements and personal scheduling
  • Organizes and maintains President/CEO’s office, paper and electronic files, social media accounts and including but not limited to personal files
  • Prepares President/CEO for meetings, ensuring that he has all needed materials and information
  • Assists with communications including:

o opening, reviewing, and prioritizing mail

o answering, making and returning telephone calls on his behalf

o drafting, for his approval, correspondence to board, chairman, executives, customers and other business leaders.

  • Prepares court documents and reports in support of Business Unit activities
  • Maintains and keeps current key organizational materials including: board/customer/employee lists, manuals, periodicals, letterhead and business and personal contacts
  • Handles a wide range of administrative and support tasks while independently initiating and implementing processes to manage projects, information, and people
  • Serves as phone back-up to the office Administrative Assistant
  • Other duties as assigned from time to time

Requirements

  • Minimum of a High School diploma or its equivalent. Technical college, professional certification and/or college education a plus
  • Minimum of 5+ years executive level support experience
  • Ability to type at least 50 wpm and pass a timed typing test
  • Must be Computer literate: MS Office skills (intermediate to advanced skills using Word, Excel, PowerPoint and Outlook)
  • Must be able to pass an intermediate skills test that includes: Computer knowledge, logic and reasoning, proof-reading, filing, PowerPoint, Excel and Word

  • Must be able to work in a fast paced, dynamic operation with high standards of excellence
  • Telephone management skills; excellent telephone etiquette
  • Must have experience with complex scheduling and calendar management
  • Ability to navigate the Internet and Social Media
  • Strong organizational, interpersonal and listening skills
  • Ability to think and communicate (written and verbal) clearly and in context
  • High level of professionalism and confidentiality
  • Ability to prioritize and manage multiple projects simultaneously and complete in a timely manner
