A wealth management practice based in midtown is looking to hire an associate advisor to manage practice operations and assist the wealth management advisor in client meetings. The right candidate should have strong attention to detail, be process driven and have a desire to learn the financial planning business. In addition to have strong operations and back-office skills, the right candidate must have a passion for communicating with clients of the firm.


This role is hybrid and must be able to commute to Midtown Manhattan a few times per week.


Responsibilities:


  • Create positive first impressions with clients and prospects by managing the office environment, client communication and ease of doing business
  • Maintain calendar and schedule follow-up appointments
  • Manage email and Microsoft outlook for the advisor
  • Handle case notes, process correspondence and maintain client case file information
  • Coordinate workflow of the team to ensure everything is prepared for upcoming client meetings
  • Serve as a ‘go-to’ support person for the team and offer to help other team members regularly
  • Input data, print proposals and gather information in preparation for client/prospect meetings
  • Contact clients to set up follow-up meetings with the team
  • Prepare and organize documents for a client’s financial plan review
  • Maintain supplies of current insurance/investment-related marketing materials

QUALIFICATIONS

  • Experience in administrative support or customer service, preferably in the financial services and/or insurance industry
  • Excellent oral and written communication skills
  • Familiarity with Microsoft applications and data entry and information retrieval software
  • Demonstrated organizational and time management skills and ability to multitask, set priorities and meet deadlines
  • Strong attention to detail with the ability to work with a high degree of accuracy
  • Ability to work in a fast-paced environment
  • Ability to work both independently and on a team
  • Ability to maintain confidentiality
  • Bachelor’s Degree
