NCQA is hiring two Executive Assistants! This position performs a variety of complex executive-level tactical duties to support the Chief People and Diversity Officer and Chief Technology Officer with a second position supporting the SVP of Quality Measurement & Research Group. This includes administrative support to the Assistant Vice Presidents, project support for the departments and business units of Human Resources, Information Systems and Information Technology, and company-wide communications. Requires ability to work independently and responsibly, make sound decisions, exercise good judgment and initiative, manage projects and respond quickly to changing priorities.

Primary Responsibilities:

Executive Support:

  • Manages meeting schedules, calendars and materials preparation for executives.
  • Acts as point of contact for inquiries from NCQA staff regarding the departments supported.
  • Ensures that executives are prepared with meeting materials for daily activities.
  • Responds to executive requests and delivers slide decks, documents, materials, etc.

Project/Communications Support:

  • Prepare weekly communications for company newsletter (sMatters) and update main SharePoint page.
  • Responds to requests of department executives on special projects and gathering of information.

Meeting Support:

  • Prepare and schedule meetings for departments supported. This includes weekly team meetings, 1:1s with executives, group/committee meetings as well as semi-monthly all employee meetings.
  • Prepare, collect and organize content for slide decks, documents and other materials as requested.

Reporting:

  • Responds to requests of executives, including aggregation of monthly departmental reports, Board of Director reports; other requested reports.
  • Coordinates logistics and travel for meetings and speaking engagements.
  • Complete department executives, AVPs and Director’s expense reports.

SharePoint:

  • Maintains executives files/electronic sites (private department SharePoints, One Drives, Teams Pages, etc.) and assist with other duties, as assigned.

Requirements:

  • Bachelor’s degree or experience in lieu of education.
  • 4-5 years of progressive administrative experience and past experience supporting multiple executives.
  • Handles logistics for executive and departmental meetings/events
  • Proficient in the following Microsoft Office applications: Word, Excel, PowerPoint, SharePoint, Visio, OneNote, Outlook
  • Navigate Salesforce-based systems
  • Confirm departmental reports are completed and submitted to appropriate staff on time, e.g., Monthly Operating Reports and Board of Director Meetings documents
  • Strong communication and customer service skills
  • Flexibility and adaptability
