The Executive Administrative Associate needs to have a good understanding of Christ Fellowship culture, values and organizational structure. We are seeking someone who has strong time management and organizational skills and is able to give comprehensive support to the Senior Executive Director of Creative. This position requires the ability to anticipate needs, think critically and offer solutions to problems with a high level of professionalism and confidentiality in a fast paced environment.

JOB DUTIES:

  • Scheduling team meetings for the Senior Executive Director of Creative - take meeting notes when needed, edit and send notes out to the team; track progress on action items and follow-up with emails, and phone calls as needed.
  • Arranging all logistics for meetings and delegating to/collaborating with Executive support team members on execution of tasks.
  • Collecting information from ministry leaders and creating agendas for the Senior Executive Director.
  • Sophisticated calendar management, prioritizing inquiries and requests while troubleshooting conflicts; making judgment and recommendations ensuring smooth day-to-day engagements.
  • Managing travel arrangements for the Senior Executive Director.
  • Hosting and serving guests as they arrive for scheduled or non-scheduled meetings with the Senior Executive Director.
  • Serving as primary point of contact for internal and external associates on all matters pertaining to the Senior Executive Director, including highly confidential and sensitive details, determining appropriate course of action.
  • Keeping the Senior Executive Director well informed on upcoming commitments and responsibilities, following up appropriately, anticipating needs in advance of meetings, conferences, etc.
  • Providing a bridge of communication between Senior Executive Director and Executive Team members, Direct Reports and Directors.
  • Provide event support as needed for speaking engagements.
  • Completing special projects by assigning work to appropriate staff on behalf of the Senior Executive Director.
  • Collecting and preparing information for meetings with staff and outside parties.
  • Composing and preparing correspondence with internal and external contacts.
  • Occasional personal assistance.

EDUCATION:

Associates Degree

RELEVANT WORK EXPERIENCE:

5-7 years experience
