Executive administrator and personal assistant to a fast-moving entrepreneur and CEO that runs multiple different small companies and enterprises. Candidate needs to have strong understanding of general business activities, marketing basics; bookkeeping (Quickbooks, Excel) and can run and coordinate all confidential business and personal organizational and financial needs across different entities. Track business and personal expenses, update budgets and handle day-to-day scheduling and coordination activity with other employees, contractors, clients and prospects. Setup all travel and coordinate appearances at speaking events. Light marketing expertise and coordination of 3rd parties hired to provide these services to companies. I need a 'get-the-job-done' type professional that doesn't need a lot of direction and can anticipate what needs to be done next.

This is an old-fashioned job. Yes, you'll have to come into an office most of the time where you can focus, interact with people and build relationships. This is not a zoom job from your beach house in Europe. Sorry.

I need a dependable, trustworthy, professional and attentive executive assistant that can perform any multitude of duties and tasks that are necessary to help keep our growing and unique business running and it's CEO (me) focused on what is most important to make us successful. I need someone that can optimize me and make the company run smoothly.

One of my key responsibilities is traveling around the country speaking in front of large groups of bank CEOs and CFOs which generates interest in our consulting services so I need a lot of help making that happen which includes pre-booking travel, coordinating with our marketing experts, PR team and assisting me with putting final touches on presentations and meeting documents.

I also support our sales team and oversee administrative and financial accounting needs for the company regularly so my EA would need to help support these efforts both internal and external coordinating my calendar for both internal and external demands.

Responsibilities and Duties

In support of the CEO:

Calendar management, meeting coordination with clients, associates, etc.

Email and written correspondence - sometimes from dictation or phone interview

Book travel arrangements (heavy travel at times)

Coordinate marketing activities with sales team, event

Any administrative or basic accounting task as necessary

Whatever it takes!
