Tanaq Support Services (TSS) delivers professional, scientific, and technical services and information technology (IT) solutions to federal agencies in the health, agriculture, technology, and other government services. About the Role
We seek an Executive Administrative Assistant to support a Public Health Data Modernization Initiative at the Centers for Disease Control and Prevention (CDC). The Executive Administrative Assistant will support the client's mission by providing administrative support and information gathering for daily, mission-critical activities, assisting the client's leaders and CIO implementation leads.
Responsibilities

  • Establish, categorize, and assure that records and materials in MS Teams, SharePoint, shared drives, or other office-based document systems are complete, up to date, and maintained in compliance with CDC requirements.
  • Assist staff with preparing and processing documents and correspondence, checking documents for accuracy and completeness, recording data, establishing, and maintaining files, and transmitting the information.
  • Work collaboratively with the team and senior leadership to provide high-quality and accurate content for reporting, presentations, and other communications.
  • Assure that materials comply with CDC and Section 508 compliance guidelines by providing needed tagging and testing for 508 compliance.
  • Develop and update the website content from subject-matter experts, team members, and leaders; disseminate condition-specific project information and project findings; and/or assist in developing public health content for diverse website audiences; develop communication products and promotional materials, curricula, and other resources.
  • Update Leadership Microsoft Outlook calendars with meetings and deadlines.
  • Assist staff with travel arrangements such as researching hotel locations and costs, gathering travel requests, researching cost estimates, and preparing orders and vouchers in the travel system ICAP.
  • Assist with records management and correspondence, mail management and distribution, and other administrative services.
  • Conduct onboarding tasks when new personnel join the team, including processing ID card requests, background check initiation, email account requests, and computer requests.
  • Receive telephone calls and promptly provide answers and support to administrative needs or coordinate to ensure the callers’ needs are met.
  • Provide support for virtual meetings, requiring close coordination and calendar management with other team members. Draft agendas and other meeting materials and manage the electronic distribution of meeting materials to attendees.

Requirements:Required Skills and Experience

  • Prior executive administrative assistant support experience at CDC required.
  • Experience processing CDC travel requests, including inputting and processing in the Concur Government Edition travel system.
  • Experience coordinating and maintaining executives’ calendars.
  • Experience assisting with preparing standard CDC administrative documentation, such as small purchase requests, training requests, Credit Card Purchasing System (CCPS) requests, Vendor Supplied Training System (VSTS) requests, etc.
  • Experience assisting staff members with the planning and scheduling of meetings and conferences through the Agency’s room reservation system.
  • Experience reviewing and editing documents prior to finalization and distribution.
  • Proficient in Microsoft Office Suites (Word, Excel, Outlook, PowerPoint, and SharePoint).
  • Superior multi-tasking and organizational skills; ability to manage multiple project and prioritize assignments, while remaining flexible to changing priorities and new initiatives.
  • Excellent written and verbal communication and attention to detail.
  • Ability to handle confidential information.
  • Ability to obtain a government clearance.

Education and Training

  • Bachelor’s degree plus 2-3 years of executive administrative assistance experience; 6+ years of experience in lieu of a Bachelor’s degree may be considered.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer. May need to lift 25 pounds regularly.
