POSITION SUMMARY:
This position has primary responsibility for providing administrative support, some of which may be of a confidential nature, to the Chief Legal and People Officer (CLPO),the Human Resources department, and in isolated instances, the CLPO’s direct reports. The position will report into the CLPO.
RESPONSIBILITIES:
- Provide administrative support to the CLPO and Human Resources. Tasks include but not limited to, PowerPoint presentations, filings of legal documents, report preparation, scheduling meetings, coordination of activities, travel arrangements, expense reports, etc.
- Schedule and manage external and internal meetings, such as hotel arrangements/logistics (sourcing hotel, contract negotiation, confirming reservations for participants), organize transportation, plan catering and entertainment, confirm billing (hotel, catering, etc.) for correctness, meeting room management, plan catering, and provide general clean up in the conferencing areas.
- Support various administrative functions of the Human Resources department to include mail merges, data entry into various HR systems, small projects as assigned, and moderate Excel-based project work, which may include confidential information.
- Provide general office administration (establish and maintain files, composing, and typing correspondence) for all departments as required.
- Assist with special projects (holiday & corporate events, special reporting, and executive board meetings), as assigned.
- Carry out other duties and responsibilities as may be assigned or required.
QUALIFICATIONS:
Education and Experience:
- Requires a 2-year college degree or equivalent experience. Bachelor’s degree a plus.
- Minimum of 5 years of experience in an office administration environment.
- Experience planning events including support of large meetings, training sessions, off-sites, and site events.
Other Qualifications:
- Extensive knowledge of business and an excellent command of the English language.
- Excellent organization skills with a high attention to detail, accuracy and the ability to work well under pressure with tight deadlines and changing priorities.
- Able to exercise judgment and must have high level of interpersonal skills to handle sensitive and confidential information. Position continually requires demonstrated poise, tack, and diplomacy.
- Original thinking in approach to job responsibilities and to improve processes, methods, systems, or services.
- Proactive, strong sense of urgency, responds quickly, and possesses excellent follow-through skills in terms of anticipating needs and follow-up items for executives.
- Able to multi-task while maintaining quality and meeting deadlines.
- Ability to communicate clearly at multiple levels and will diverse audiences. Clearly negotiate, persuade, and convey information to individuals or groups. Present ideas clearly and effectively in written form. Write and edit adjusting language or terminology to meet needs of the audience or as appropriate, using correct grammar, organization, and structure.
- Some analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
- Computer proficiency with Microsoft and Internet applications.
- Able and willing to work alternative schedules including weekend, and on-call hours as needed.
- Legally permitted to work in the United States.
- Able to work in a general office environment.
- Effective in working cross-functionally with multiple departments simultaneously within the organization.
