Job Description:
The Memorial Union (MU) at Iowa State University is currently seeking highly motivated and customer service-oriented candidates to serve as Event Operations Coordinator. A 316,713 square foot multipurpose facility, the MU serves as the center for student life, co-curricular activities, as well as the primary meeting spaces for the campus and local Ames community. Opening in 1928 the MU was established to honor and serve the students that attend Iowa State University. The Memorial Union is home to 27 meeting spaces ranging from Ballrooms to small meeting spaces, a food court, office spaces for over 14 Division of Student Affairs and Academic Affairs services, an 8-lane bowling alley and billiards, an art studio, and a 600-stall parking ramp.
The Event Operations Coordinator is responsible for supporting event operations by coordinating and implementing the timely and accurate set-up, execution, and tear-down of all internal and external Memorial Union (MU) events utilizing relevant event management and room diagramming software. The Event Operations Coordinator will also crossover support for the Event Management Office, AV/IT needs (setup, teardown, troubleshooting), Parking Operations as well as light cleaning duties; all while creating and maintaining an overall excellent client experience.
The successful candidate must have excellent customer service and relationship building skills, strong leadership and communication skills, ability to physically complete event setups that include setting up tables, chairs, portable staging, etc. The successful candidate should also be able to demonstrate experience in building professional relationships with student staff, professional staff, etc. Can demonstrate a history of building positive team morale, validating individuals and the work of the team. Provide empowerment of student staff and/or other team members, and helping individuals build self-accountability through open communication and clear directives is of utmost importance. The successful candidate must possess the ability to take initiative to aide in the growth of the Memorial Union as a whole.
The duties of this position will sometimes require work outside of the normal scheduled hours, including rotating weekend coverage. Duties include, but are not limited, to:
  • Coordinate and execute reservations setup, tear-down and staffing for all internal and external events taking place in or around the Memorial Union. Including pick-up, delivery, and set-up of appropriate moveable equipment (i.e. tables, chairs, audio visual, portable staging and sound equipment).
  • Maintain inventory of event management furnishings and equipment; respond to and report safety violations to Asst. Director for Operations.
  • Respond to MU staff and customer related inquiries/calls during shift.
  • Coordinate daily with Event Operations Staff (professional and/or students) to relay current or upcoming event needs.
  • Conduct setup inspections to ensure all details are completed according to Event Management Software and Diagraming specifications.
  • Provide support, guidance and leadership for Student Building Manager and Student Event Operations Staff assisting with set ups.
  • Provide operational support to the Memorial Union AV/IT staff as well was the MU Parking Ramp system as needed, including trouble shooting issues that may arise.
  • Serve as lead for special projects as assigned by Director, Assoc. Director for Operations and/or Asst. Director for Operations

We have 2 positions:
Tuesday - Saturday 6:30am - 3:30pm
Monday - Friday 2pm - 11pm
