Roles & Responsibilities include (but not limited to):

As the Event Coordinator, the ideal candidate must be able to organize and communicate regularly with guest speakers for Quest internal events, maintain the Marketing & Events calendar in an orderly fashion, track event registrations and monitor class attendance numbers. The Event Coordinator works closely with our Sales Department to create follow ups, funnel new client emails and ensures they are prepared with promotions when introducing/hosting events. The Event Coordinator will oversee all promotional content needed for preparing and packing for external sponsorship events, create newsletters to assist with class registration and follow up with potential new leads.


  • Plan, coordinate and schedule Quest monthly internal classes and other marketing events.
  • Handle all communication with guest speakers; vet potential new speakers.
  • Establish and maintain relationships with 3rd party vendors, sponsors and venues; coordinate sponsor logistics for Quest events.
  • Communicate and coordinate with internal Quest staff/speakers on event details
  • Plan for potential scenarios that could impact the integrity of the event. Monitoring events while they take place onsite and resolving any issues as they arise
  • Monitor event RSVP numbers and help develop advertising and promotional campaigns to ensure events are successful
  • Monitor class attendance numbers and new leads generated from classes to assess if strategies are working properly and relay information to Marketing Manager
  • After events conclude, update class RSVP, attendance, and lead numbers for weekly/monthly recap.
  • Oversee hosting of all events by Marketing and Sales team – make sure the rest of the Sales/Marketing team is prepared with promotions when they are introducing/hosting events
  • Work alongside the business development team member to ensure all external events are added to the Marketing & Events Calendar
  • Work along with Sales/Business Development team to generate packing lists and ensure all marketing materials are prepared for external events
  • Responsible for adding events to all event platforms (website, meetup, etc.) and conduct audits to ensure information is up to date.
  • Maintain the QTC Marketing & Events calendar
  • Adding and updating external events as they are sent
  • Adding and updating internal events and classes & working with Sales and Marketing to gather all pertinent information
  • Perform other job-related duties as required

Education & Experience

  • High School Diploma is required
  • College Degree is preferred
  • A minimum of 1-2 years of directly job-related experience is recommended
  • Event planning experience is required

Skills & Qualifications

  • Event planning or event coordination experience
  • Time management skills with the ability to organize and prioritize
  • Must be able to work well in a team environment
  • Willingness to grow and accept new challenges
  • Regular and reliable attendance is an essential function of this position
  • Must be adaptable
  • Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Teams)
