JOB DESCRIPTION
Job Title: Electronic Medical Record Technician

Job Summary: Compiles, scans, processes, and maintains medical records consistent with medical, administrative, ethical, legal, and regulatory requirements. Utilizes electronic health record system for inquiry purposes, enters and sends data, and generates reports. Releases medical information, as appropriate. Processes patient admission and discharge documents. Greets customers, answers phone, responds to written and verbal requests for patient information.
Department: Health Information Management
Reports to: Director of Health Information Management
Areas of Responsibility: Scanning, analyzing, assigning deficiencies, release of information.
Principal Accountabilities:
1. Collect medical records from patient care areas to prep for inclusion into the patient’s electronic medical record.
2. Prepare medical records for scanning.
3. Scan medical records into the hospital’s electronic medical record system.
4. Analyze records for any physician deficiencies.
5. Assign deficiencies to appropriate physicians and staff for completion of the legal health record. (Deficiency Log)
6. Serves as backup transcriptionist when regular staff transcriptionist is out ill or on vacation.
7. Locate, retrieve, and deliver medical records to patient care areas.
8. Complete physician late letters and physician signature letters to ensure compliance with medical staff rules and regulations.
9. Provides back up support to other internal staff members in the completion of birth certificates to meet requirements set by KDHE.
10. Prepares correspondence and records for release of information in accordance with HIPAA privacy laws, state regulations, and hospital policy to respond to requests for patient information.
11. Coordinate and respond to inquiries regarding hospital’s privacy practices to maintain and remain in compliance with appropriate hospital, state, and federal regulations.
12. Meets productivity and accuracy requirements consistently per HIM policy.
13. Answers telephone and gives routine information to service the department and the needs of our customers; including support for patient portal.
14. Serves as backup to hospital volunteers in monitoring COVID screening processes at East Annex entry.
15. May perform other duties as assigned.
Qualifications:
Education/Experience:
1) Associate’s degree or equivalent from two-year college preferably in Health Information Management, preferred.
2) Previous medical office experience, preferred.
3) Medical terminology, preferred.
Skills:
1) Electronic health records experience.
2) Administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures.
3) Must be proficient in keyboarding skills.
4) Must possess the ability to learn software utilized on a daily basis.
5) Ability to interact with customers in a friendly and efficient manner.
Licensure/Certification:
1) Preferred: Registered Health Information Technician (RHIT) or must be eligible to sit and successfully pass the above-mentioned professional credential within a reasonable time after hire.
