The Donor Database Administrator serves as the agency’s expert in donor data, ensuring all fundraising data is collected timely, comprehensively, accurately, and securely. This position analyzes donor data and supports the agency to strategize on fundraising strategies that will maximize fundraising ROI. This individual will be responsible for delivering excellent customer service, administrative support, database management, supporting the finance department with reconciliations, and other administrative functions of the Development team.
Responsibilities:
  • Ensure all activities uphold agency vision and values, with a strong commitment to equity, dignity of and partnership with the communities served.
  • Plan, prepare for, and provide day-of on-site execution of fundraising database administration.
  • Demonstrated experience serving as an expert user and administering a comprehensive CRM (knowledge of and experience with Raiser's Edge required)
  • Generate acknowledgement letters/tax receipts using department template and nonprofit sector best practices.
  • Lead all data-focused efforts with a full understanding of the complexity of Holy Cross Services data management systems.
  • Coordinate and lead staff training for all database systems and provide ongoing support.
  • Lead constituent data entry, management, and query needs of development department.
  • Develop systems to ensure that data accuracy and maintain user controls and protocols through thorough data entry and quality control procedures.
  • Consolidate, track, and analyze donor data across all fundraising efforts including bulk digital and mail communications, event invites, constituent outreach, fundraising campaigns, grant awards, and volunteer service.
  • Collaborate with all staff to develop and generate strategic custom reports and other donor data queries.
  • Serve as a donor ambassador and provide support via phone and email for inquiries and requests.
  • Process/download and import all types of donations/gifts from various sources.
  • Ensure timely preparation of donor correspondence, including gift acknowledgments and electronic and printed solicitations and communications.
  • Prepare data/donor segmentation to meet the criteria of the direct mail strategy; produce reports to analyze and share fundraising results and strategy.
  • Provide accurate reports for donor recognition in publications such as an annual report and donor honor roll.
  • Prepare queries and exports for mailing lists, email campaigns, fundraising appeals, and event invitations to support fundraising/marketing initiatives.
  • Work with the finance team to regularly reconcile and invoice outstanding pledges and reconcile gifts.
  • Partner with the Finance Department to support timeliness/accuracy of donation entries and collection of pledges.
  • Generate accurate reports and exports, conduct and analyze event data, donors, and tracking of fundraising.
  • Provide input in developing and designing processes that leverage donor database systems.
  • Maintain standard operating procedures for users to guarantee consistency and accuracy; maintain data integrity of all incoming donations, including the gift entry process.
  • Ensure the protection of the donor files and confidentiality of donor information.
  • Develop and maintain donor database policies and procedures manual.
  • Conduct regular database record maintenance, resolve system problems that may significantly affect business operations, and communicate procedures to ensure proper resolution of system issues.
  • Partner with vendor(s) and IT to resolve system issues.
  • Partner with other staff members of the Advancement team in the planning and execution of special events and fundraisers.
  • Participate in weekly supervision and continuous performance improvement with assigned supervisor.
  • Conduct weekly supervision and continuous performance improvement/performance evaluations for assigned direct reports, including interns and volunteers.
  • Collaborate closely with all members of the advancement team and across agency departments.
  • Performs other duties related to the essential duties of the position and within the individual’s capabilities as assigned by one’s supervisor.
Requirements:
  • Bachelor’s degree in a position-relevant field
  • 3+ years of experience in Raiser’s Edge
  • Lived experience in child welfare or homelessness strongly preferred
  • Valid and Current Driver’s License. Meet State “Good Moral Character” guidelines.
