Director, Philanthropic Development Operations
The Director, Philanthropic Development Operations is a key member of NJPAC’s Development leadership team, responsible for scaling development operations and systems to set NJPAC up for success and growth, ensuring our systems meet the needs of our complex and evolving fundraising programs. The ideal candidate for this position is a strategic thinker with deep knowledge of nonprofit fundraising and a strong understanding of end-user business needs.
Specific tasks will include:
- Annual Fundraising & Stewardship
- Work with IT and Senior Director, CRM to maintain annual giving and fundraising dashboards, including annual projections, YOY giving and other analytical reports
- Work with prospect managers to ensure that all commitments are properly documented in paper and digital files
- Serve as point person for tracking and issuing quarterly pledge reminders and work with prospect managers to ensure accuracy
- Serve as point person for issuing bi-weekly acknowledgement letters
- Conduct regular gift reconciliation with data entry team to ensure accuracy in reporting
- Liaise directly with CRM team to ensure functionality of projections and ask structures; propose and oversee improvements to process
- Serve as project manager for annual endowment mailing
- Serve as project manager for annual mailing of Report to the Community
- Capital Campaign
- Working with Database ops team, oversee campaign financial tracking, payment notices, and acknowledgements.
- Create moves management tracking system for existing and campaign prospects
- Support VP with production of Campaign solicitation meetings and logistics
- Project manage Campaign events with Events team
- Board Giving and Stewardship
- Support VP, Development with annual board solicitations and tracking
- Develop Board engagement dashboard including demographic profile, annual giving, Committee and event participation
- At VP’s direction, prepare materials for VP participation at Nom and Gov committee, Exec Committee and BOD meetings
- Schedule annual Nominating and Governance Committee meetings, prepare and send meeting materials to Committee and prepare meeting minutes
- Development events
- Supervise Manager, Development Events and help to manage development event calendar and deployment of resources for individual and institutional events
- CRM & Gifts processing
- Oversee 2-person Gifts processing team, ensuring accurate gift entry, management and reporting
- Oversee Senior Manager, CRM & Development Operations, charged with the development and implementation of new processes and customization to Development app in Salesforce
- Department Budgeting
- Support VP with creation of Development Department budget each fiscal year and serve as lead in tracking of expenses and requirements associated with revenue allocation and budgeting.
- Management & Supervision (total of 4 FTEs)
- Oversee CRM Business Operations team including staff of 3 direct reports: Senior Manager, CRM Development Ops; Senior Manager, Dev Operations (gifts processing) and Gift Entry associate
- Supervise Manager, Development Events
- Perform other position-related duties as assigned.
Qualifications
- 7-10 years of progressively responsible fundraising or project management experience in a non-profit organization, performing arts or higher educational institution
- Proven ability to identify and implement solutions for organizational pain points
- Experience with use of Salesforce CRM preferred
- Ability to work independently; move projects from conceptual stages to launch; and handle multiple and often competing deadlines
- Strategic fundraising mindset and a service-oriented approach
- Strong critical thinker with inclination to improve and evolve processes for maximum efficiency and growth
- Ability to take initiative and manage multiple projects at one time
- Demonstrated ability to manage up and sideways
- Strong interpersonal, written, and oral communication skills and comfort working in a high-energy, fast-paced and collaborative environment

- Bachelor’s degree or equivalent preferred.
NJPAC requires all employees to be fully vaccinated (including booster vaccination) for COVID-19 prior to starting work, unless precluded from doing so by applicable law. Proof of vaccination is required prior to the applicant’s first day of work.
The CDC currently defines “fully vaccinated” as two weeks after the second dose for Pfizer and Moderna and two weeks after the single dose of Johnson & Johnson.
