Digital Book Production Assistant

Reporting to the Design and Production Manager and working closely with the Digital Publications department, the Digital Book Production Assistant will assist in a range of duties supporting Getty’s digital publishing activity. This includes new, multiformat digital publications produced with Quire (Getty’s publishing software, https://quire.getty.edu/), reflowable e-book and PDF editions of recent and forthcoming print titles, and short-run-digital and print-on-demand printings and reprints. The job entails tracking, processing, and managing image assets and other media; digital text markup in a variety of formats; trafficking of digital production files; and ongoing quality control and maintenance of past and forthcoming digital titles.

Successful candidates will be meticulous, organized, and have a keen interest in working with modern digital production and publishing tools of all kinds. On-the-job training will be provided.

Getty Publications produces award-winning books that result from or complement the work of the J. Paul Getty Museum, the Getty Conservation Institute, the Getty Research Institute, and the Getty Foundation. The approximately 35 print and digital books published each year cover the fields of art, photography, archaeology, architecture, conservation, and the humanities for the general public, children, and specialists. Note: Los Angeles-area residency required. This position is NOT fully remote and consists of a hybrid in-office and work-from-home schedule.

Major Job Responsibilities:

File Trafficking and Quality Control

  • Assist project team to assess and organize content and assets for new digital publications.
  • Partner with the project team to generate and maintain schedules for digital publications.
  • Organize files and coordinate production with U.S. and overseas suppliers for short-run and print-on-demand projects.
  • Assist production and design with digital reprints of backlist titles, including coordinating corrections, creating schedules, and tracking progress.
  • Work with external vendors to create files for digital publishing products including e-books and web-ready PDFs; coordinate schedules, quality control, and functionality.
  • Assist with final quality assurance testing on digital book formats prior to publication launch.
  • Perform ongoing checks and maintenance on previously published digital projects, reporting back to the Digital Publishing Manager and/or Getty developers for fixes as needed.
  • Assist in updating and maintaining digital publication guidelines.

Image Asset Handling

  • Work independently and with Rights Coordinator to identify and gather image assets from Media Management (Getty’s digital asset management system) and Getty’s Imaging Services department.
  • Quality check image files for size, format, and resolution. Work with project team to commission new technical illustrations and maps for digital projects as required.
  • Evaluate and process final image files for digital projects and upload assets into a web-based project management tool.

Text Markup

  • Convert final project manuscripts from Word into formatted plain-text files.
  • Format specified elements of each manuscript; check, repair, and/or add tagging for figure illustrations, hyperlinks, pop-ups, endnotes, etc., to ensure full functionality of preview site for proofreading.
  • Assist project team to enter, implement, and commit corrections throughout the development process using a web-based project management tool.

Qualifications:
  • High School diploma/GED; bachelor’s degree preferred
  • Minimum 1-3 years experience in publishing or digital media environment.

Knowledge, Skills and Abilities:
  • General computer literacy. Experience with both macOS and Windows, experience in using Adobe Creative Suite software including InDesign, Photoshop and Illustrator, and HTML markup a plus.
  • Strong attention to detail and outstanding organizational and communication skills
  • Capable of working independently and as part of a team
  • Good at prioritizing workload and meeting tight deadlines
  • Strong interest in cultivating a diverse, equitable, and welcoming team environment
  • Interest in bookmaking and knowledge of art history a plus
