Summary
Organizes, prepares, analyzes, enters and controls student data for use in reports eligibility determinations for special programs, setting up interdepartmental services, records and transcripts, reimbursement for services, demographic research, and forecasting.
Distinguishing Career Features
The Data Resources Specialist I is the first level in a career path for student data control that supports special educational programs and extended services. Advancement to this level requires well-developed computer/data entry, file management, and report generating skills.
Advancement to Data Resources Specialist II requires well-developed data entry skills, knowledge of the special programs and terminology used, working knowledge of student data entry and control applications, demographic research, and reporting formats for reimbursement and accreditation. Advancement potential may exist, based on need, along a information technology career path in the areas of data base applications or technical support to personal computer users who are accessing student data.
Essential Duties and Responsibilities
- Maintains a wide range of data related to student files, demographics, attendance, and registration records. Receives, verifies, enters data into required programs or formats.
- Maintains and verifies student data files, and assures that all necessary documents have been obtained in accordance with file inclusion and retention requirements. Receives new data and/or revisions, enters data, routes updated information to appropriate staff or departments. Generates periodic reports.
- Organizes data for others who are performing assessments, audits, and statistical tests of levels of service, academic outcomes, student demographics, and other information.
- Prepares cumulative files for new students. Assists with pre-registration and registration.
Inputs to computer-aided student data files, information from yearly registration cards and master course schedule cards for registration.
- Enters to the student data files, attendance, conference, special services, and student outcome data. Prepares standardized and custom reports of student information.
- Cross references data to ensure accuracy and completeness. Recognizes problems in source documents and corrects or calls to the attention of supervisor or other designated liaison.
- Reviews student data for use in arranging and sequencing related services such as but not limited to, transportation, health care providers, accommodations and adaptations.

- Maintains files of student individualized education plans. Reviews files for updates, etc.
Prepares and distributes IEP’s, and other materials for use by teachers and specialists.
- Collects, verifies, and organizes data for student accounting reports. Collects and audits information for determining average daily attendance, ensuring that attendance is maximized through accurate recording of student activity.
- Prepares periodic reports to funding and reimbursing agencies using established formats and data entry screens, including those connected with student attendance.
- Prepares, assembles and distributes a variety of information and reports to teachers, resource specialists, and others connected with student services.
- Performs other duties as assigned that support the overall objective of the position.
Qualifications
- Knowledge and Skills
The position requires working knowledge of data entry methods, procedures and equipment including access to data management programs using integrated databases.
Requires a working knowledge of data entry procedures, sequences, and formats.
Requires working knowledge of common microcomputer software such as word processing, spreadsheets, and electronic information transfer. Requires basic knowledge of student files and data. Requires knowledge of and skills in preparing materials using proper American English language usage, grammar, syntax, composition, vocabulary, spelling and punctuation. Requires sufficient math skills sufficient to perform sequenced computations. Requires sufficient human relations skills to provide technical assistance using appropriate lines of inquiry to elicit user needs or problems.
- Abilities
Requires the ability to carry out the essential functions of the position with general supervision. Requires the ability to learn the terminology, and requirements of special student programs. Requires the ability to extract data from information systems and generate reports using various software applications. Requires the ability to learn and apply computer-aided software and equipment used for data entry and transfer. Requires analytical ability to define and arrange data sequences and details, to design and produce standardized technical reports. Requires the ability to interpret and apply State laws and regulations, District policies and procedures governing special student programs.
Requires the ability to use databases for data entry, collection, and report generation.
Requires the ability to organize, prioritize, and perform tasks connected with multiple assignments and meet expected time constraints. Requires the ability to develop and write procedures that guide data collection, and assist special programs staff with data management and decision support. Requires the ability to maintain productive relationships with staff and external agencies. Requires work under pressure, meet deadlines and timetables, and maintain attention to details.
- Physical Abilities
Incumbent must be able to function effectively indoors in an office environment engaged in work of primarily a sedentary nature. Requires the ability to sit at a work station for extended periods of time. Requires near visual acuity to read written materials and computer screens. Requires hearing and speech ability for ordinary and telephonic conversations and to hear sound prompts from equipment. Requires sufficient hand-eye

- Education and Experience
The position typically requires college-level coursework in business, math, recordkeeping, or related field and 2 years of data entry experience that includes data control and preparation of routine reports.
- Licenses and Certificates
May require a valid driver’s license.
- Working Conditions
Work is performed indoors with minimal exposure to health and safety hazards.
