GENERAL SUMMARY: The Data Processing Specialist conducts the organizing and processing of documents and data to support the admissions process. The Data Processing Specialist has a comprehensive knowledge of application and admission processes, policies, procedures, and regulatory standards. The Data Processing Specialist communicates and collaborates regularly with the Admissions Managers & Student Experience Managers to complete applicant files for admission consideration. The Data Processing Specialist is charged with upholding policy and procedure set by the Admissions Department, University, and its committees. The Data Processing Specialist actively exemplifies outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.
PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:
- Process all applications and ensure all documents have been stamped, entered, and initialed, and follow standard document processing procedure for entering data into the Student Information System (SIS) for applicants and students
- Ensure accurate assessment, entry, and quality assurance of all application materials, including but not limited to: application checklist items, program application, GPA information on transcripts, accreditation, citizenship, and contact information
- Ensure the data integrity of duplicate record merges and application changes
- Perform the calculation of GPA for all admitted students based on the criteria outlined in the Academic Catalog
- Verify school accreditation for all regionally accredited transcripts
- Adhere to University document retention policies, ensuring accurate filing of documents
- Confirm that all admission statuses are updated and are accurately reflected in the SIS
- Assist in preparing spreadsheets with applicant information for admission committees
- Ensure that all admission decisions are based voted University policies and criteria
- Ensure acceptance, alternate, program full, and program denied statuses are updated in a timely manner after admission committee decisions are made, and assign program advisors and tracks program deposits
- Ensure that all work meets the standards for accuracy and timeliness established by the Senior Data Processing Specialist and Director of Admissions
- Identify and anticipate issues of efficiency and accuracy in the areas for which they are responsible and develops possible solutions
- Collaborate with the Admissions Managers and Student Experience Managers to ensure timely turnaround of document processing to complete applicant files and identify opportunities for efficiency
- Regularly report to the Director of Admissions on the status of meeting established benchmarks and KPIs
- Collaborate with the Financial Services, Student Experience, and the Office of the Registrar teams as needed to ensure a smooth student journey
- Maintain a working, current knowledge of all systems that support admissions
- Attend meetings, seminars, workshops as requested
- Participate in University committees as required
KNOWLEDGE AND SKILLS REQUIRED:
- Professional oral and written communication skills
- Collaborative, helpful demeanor
- Ability to take initiative and present ideas for improving processes and service
- Ability to routinely document fulfillment of key performance indicators (KPIs)
- Advanced computer skills including proficiency in Microsoft Word, Excel, and Outlook
- Excellent research and problem-solving skills
- Strict adherence to practicing discretion and confidentiality regarding access to student information and knowledge of other sensitive matters
- Alignment to the mission and vision of AHU

EDUCATION AND EXPERIENCE REQUIRED:
- Associate Degree in Business, Data Analytics, or other related field
- Must possess a general knowledge of the higher education admissions processes and customer service and communication strategies
- One or more years of higher education admissions experience
EDUCATION AND EXPERIENCE PREFERRED:
- Bachelor’s Degree in Higher Education or related field
- One or more years of data analysis and data mining experience
