Position Purpose

Reporting to the Airport Administration & Finance Manager, the Customer/Administration Support Specialist performs general administration support functions, customer service support and receptionist duties.

The hours for this role are: Monday-Friday 7:00 AM-3:30 PM and/or 8:00 AM - 4:30PM.


Key Responsibilities


The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Performs a variety of clerical duties such as typing, filing, generating reports, taking minutes, scheduling meetings, tours, appointments and vacation calendars, facilitate incoming and outgoing mail, order and maintain stock of office supplies and oversee the Airport lost and found.
  • Serves as receptionist by greeting visitors and tenants, responding to general inquiries, and routing all incoming questions by email and phone to the proper department.
  • Records minutes at Airport meetings.
  • Responsible for storage and documentation of department blueprints.
  • Assist Airport Marketing Manager with managing and corresponding using social media outlets.
  • Responsible for airport lost and found program.
  • Coordinates and assist airport administration correspondence with tenants, users, and general public.
  • Initiates, updates and maintains department files and records, including personnel files and Airport statistical data and surveys.
  • Processes payroll time sheets, completes Notice of Change Forms, and Alerts Manager to staff performance evaluations due for employees.
  • Provides security training and fingerprinting per TSA requirements for County employees, tenants and contractors.
  • Assists in planning and organizing events ie. service announcements, ground- breakings, meetings, tradeshows and promotions.
  • Updating and organizing in-airport advertising program leases, corporate and courtesy visitor boards.
  • Maintain master database for all contacts for use by Administration.
  • Maintains regular and predictable attendance, works overtime/extra hours as required.
  • Performs other duties as assigned.

Education/Certifications/Experience Requirements

  • High school graduate or G.E.D
  • Two years of related clerical experience, additional clerical training preferred
  • Or, any equivalent combination of education and experience which provide the necessary knowledge, skills, and abilities

Required or Preferred Skills

  • Knowledge of and demonstrated ability to conform to goals, policies, and procedures of the Department as well as the Outagamie county Work Rules and Terms of Employment.
  • Ability to organize work.
  • Knowledge of Airport and department goals, policies and procedures.
  • Knowledge of and demonstrated skill in performing general clerical duties.
  • Ability to handle simultaneous calls on multi-line phone system
  • Demonstrated ability to type 50 words per minute at 95% accuracy rate.
  • Knowledge of general office equipment such as photocopy, fax machines, multi-line telephone and calculator.
  • Demonstrated ability to comply with appropriate safety regulations.
  • Ability to effectively use computer software utilized by the department.
  • Ability to effectively communicate in English and understand and follow written and oral instructions.
  • Ability to maintain strict confidentiality.
  • Ability to work semi-independently making sound decisions using good judgment.
  • Ability to effectively use tact and diplomacy with staff, co-workers, tenants, and the general public.
  • Demonstrated reliability in attendance and flexibility to work hours.
