TITLE: Culinary Administrative Assistant DEPARTMENT: Programs

REPORTS TO: Director of Culinary Operations ¨Exempt þNon-Exempt

PRIMARY FUNCTION

The Culinary Administrative Assistant is responsible for providing clerical support to the culinary team. This includes answering telephones, maintaining administrative calendars, managing meal program documentation, managing office supplies, and answering inquiries from the general public.

PRIMARY FUNCTION

1. Support the culinary team with general oversite of the kitchen and culinary program, creation of food and drink menus, and ensuring the kitchen and food truck meet high standards of quality

2. In partnership with the Senior Sous Chef, manages inventory and maintains control of stock.

3. Completes food hygiene documents to ensure compliance with all laws. Completes environmental health reports as needed.

4. Communicates with the clubs and caterer about menu, numbers of meals served, updates, requirements, etc.

5. Perform audits and quality checks to make sure clubs meet the standards for meal program.

6. Schedule routine meal program training for club staff.

7. Maintain meal program documentation including obtaining information for monthly claim reports, health inspections, audits, etc.

8. Upload and maintain current documentation in MIPS (Child Care Food Program database), keep up to date with communication through MIPS and update MIPS with changes in the clubs.

9. Manages the culinary calendars (food truck, kitchen, Culinary Corner).

10. Manages all filing of invoices and other documentation for the Culinary Department

11. Participate in marketing promotions and special events for students, adults, and community.

12. Manage the approved budget with the support of supervisor.

13. Performs other duties as requested.

ADDITIONAL RESPONSIBILITIES

1. Participate in special programs and/or events as assigned.

2. Complete trainings as required.

RELATIONSHIPS

Internal: Maintain close daily contact with supervisor and Garden Coordinators, and Club staff to receive and provide information. Exhibit courtesy and understanding to staff and customers.

External: Maintain contact as needed with volunteers, partners, vendors, donors, and board members.

SKILLS/KNOWLEDGE REQUIRED

1. High School diploma or GED.

2. Experience in a leadership role preferred.

3. ServeSafe Manager certification or the ability to obtain within 90 days of employment.

4. First Aid and CPR certification within 90 days of employment.

5. Certified in all Hotel & Restaurant Association Gold Level training program within 120 days of employment.

6. Interpersonal skills to deal courteously and effectively with members, staff and the public.

7. Must be physically able to handle work in the garden such as digging, lifting, bending, etc.

8. Supervisory skills and aptitude.
