Position Summary

The Administrative Assistant is part of the University Housing Support team, which is responsible for providing support and completion of projects disseminated from the Office Manager for the department. Primary responsibilities include direct administrative/calendar support to the Associate Director of Residential Learning, the Associate Director for Occupancy Management, and the Assistant Director for Inclusion and Student Engagement; serves as the back-up administrative support for the Director of University Housing.

The Administrative Assistant manages large department processes, including listserv membership management and troubleshooting; meal plan management for over 200 full time and undergraduate live-in positions; contact list management, including the emergency calling tree; as well as meeting scheduling and management, room reservation management, and coordination of other various projects and initiatives. In addition, this position has responsibility for the interpretation of departmental policies to internal and external constituents. This position supervises one student hourly employee who works 20 hours per week.

Minimum Qualifications - Three years of general clerical experience.

The ideal candidate will possess the following knowledge, skills, abilities, and other personal characteristics outlined as critical to this position:

  • Proficiency utilizing MS Word, MS Excel, MS Outlook, MS Teams, MS PowerPoint, and a variety of web-based systems and computer programs to perform administrative tasks.
  • Demonstrated experience in maintaining strict confidentiality and discretion.
  • Ability to use exceptional verbal and written communication skills to prepare professional correspondence and present or explain information about the department.
  • Experience professionally interacting with a diverse set of customers which may include students, parents, community members, faculty, professional partners, and more.
  • Demonstrated customer service skills with both internal and external customers.
  • Ability to take initiative and maintain attention to detail.
  • Ability and willingness to build and maintain effective and collaborative working relationships with a multitude of constituents (campus offices, students, faculty, and various community groups).
  • Experience in a higher education environment.
  • Demonstrated project management and collaboration skills to work independently, with committees, and customers (both on and off campus).
  • Strong organizational skills and ability to work well under pressure with multiple and consistently changing deadlines.
  • Strong problem-solving skills.
  • Related State service experience
