General Summary


Demonstrates competency in performing administrative duties and support consistent with the mission and values of the University of Maryland Rehabilitation & Orthopaedic Institute (UM Rehab & Ortho) and in accordance with regulatory requirements.


Provide administrative support to the Medical Staff Services Department and Other business entities within University of Maryland Rehabilitation & Orthopaedic Institute. Perform duties of a highly confidential nature that require comprehensive knowledge of the organizational policies and operations. Sets up meetings and may act as proxy for supervisor. Independently plans, coordinates, schedules, gathers and processes data and electronic materials to support Leadership as well as assists with all matters pertaining to the credentialing and privileging of medical staff and allied health professionals.


CREDENTIALING ASSISTANT:


Principal Responsibilities and Tasks


The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.


  • Prepares and responds to letters of inquiry from other health care entities relative to UM Rehabilitation & Orthopaedic Institute medical staff and allied health professional staff. Utilizes Credentialing software system to identify medical staff members and their clinical privileges.
  • Type letters, transcribe committee meeting minutes, reports or other documents often of a confidential nature. Deals discretely with confidential practitioner information including meetings, correspondence, quality documentation and credentialing issues.
  • Maintains office records, credentials files, database, and equipment. Prepares files for archiving at predetermined time periods .
  • Assists in preparation of notices, rosters, and monthly reports, including licensure and insurance expiration. Performs primary source verifications as assigned. Performs daily delivery/pick up of confidential credentials files.
  • Assists in plans and preparations for special Medical Staff functions. Conducts special assignments as requested by Manager of Medical Staff Services.
  • Provides general receptionist support by performing administrative tasks, daily processing of mail, answering telephone calls and referring when appropriate. Greets visitors in a positive, professional manner in accordance with UM Rehabilitation & Orthopaedic Institute behavioral standards.
  • Assists with coordination and preparation of standing and ad-hoc meetings, including meeting notification, preparation of agendas, meeting packets and arranging for catering.
  • Performs numerous clerical duties as required.


ADMINISTRATIVE ASSISTANT:


Principal Responsibilities and Tasks


  • Coordinates schedule and maintains appointment book; schedules conferences and committee meetings and makes arrangements for meeting rooms. Prepares agendas, notes, handouts, memos and various materials. Maintains mailing lists and coordinates distribution of large volume mailings. Delivers and picks up time sensitive materials to/from various campus locations as necessary.
  • Makes all necessary arrangements for travel and independently performs required administrative follow-up and recordkeeping.
  • Independently screens and proofs materials for accuracy and furnishes final product prior to distribution or deadline.
  • Establishes and maintains complex filing systems in accordance with department procedures and TJC record keeping requirements.
  • Demonstrates resourcefulness in researching various documents and resources necessary in handling inquiries.
  • Composes correspondence on department issues on behalf of Management.
  • Other duties as assigned by Management.

What You Need to Be Successful:


Education and Experience for Credentialing/Executive Assistant Position


  • High School Diploma or equivalent (GED) required. Associate’s Degree from an accredited institution/program preferred.


Knowledge, Skills and Abilities for Credentialing/Executive Assistant Position


  • Demonstrated resourcefulness in researching various documents and resources to problem-solve in handling telephone and in-person inquiries.
  • Ability to handle confidential issues with integrity and discretion is required.
  • Highly effective verbal communication skills including courtesy, resourcefulness and efficiency in answering questions, giving directions, locating staff and explaining hospital/departmental policies and procedures are necessary. Effective writing and verbal communication skills are also required in order to take messages and maintain miscellaneous records, receipts, reports and logs.
  • PC literate with high level of proficiency and usage in Microsoft Office Suite especially in programs such as Microsoft WORD, Excel, Power Point and Access. On a frequent basis, compose and build complex documents, spreadsheets, databases or Power Point presentations with minimal guidance or review from the incumbent’s direct supervisor. Also possesses a high level of proficiency in efficiently utilizing the Internet to research various websites for information necessary to the operations of the department and its mission/professional focus. Excellent typing and data entry skills are required. Proficient transcription skills may be required dependent on the department in which the various incumbents are assigned.
  • Must know how to work fax, scanner and Xerox machines.
  • Ability to work independently with little supervision, but work and communicate well with others when required.
  • Must have excellent time management skills and meet deadlines.
