Partner of Choice (PofC) is a newly created organization at Pfizer designed to enhance our collaborations with innovative biotech companies thereby advancing therapies and vaccines for patients. The Administrative Lead will report to the Senior Vice President (SVP) of the Partner of Choice Organization in the Business Innovation organization at Pfizer. The primary purpose of this position will be to provide comprehensive day-to-day administrative support to the Senior Vice President of the Partner of Choice Organization. In this role, responsibilities include (but are not limited to) heavy calendar management, coordination of meetings, including internal and external meetings, arranging travel and expense report preparation. The coordinator will also assist the SVP in identifying and coordinating logistics for team events for the Partner of Choice leadership team and broader organization to enable a strong culture. As a working professional, he/she will be expected to handle tasks independently and in a proactive manner.
ROLE RESPONSIBILITIES
Provide comprehensive day-to-day administrative support to the Senior Vice President of the Partner of Choice Organization:
Core responsibilities include, but are not limited to:
- Proactively maintain complex calendar; anticipate conflicts and use diplomacy to resolve issues in advance
- Coordinate travel arrangements (ground, air, rail) and provide detailed itineraries
- Prepare and submit expense reports for review, and perform reconciliations
- Organize teleconferences, WebEx, videoconference and in-person meetings and ensure all technologies needed are available and operational
- Maintain and replenish technology and office supplies as needed
- Act as liaison to other partner of choice administrative professionals when reserving a private conference rooms and visitor’s office space at the Pfizer NY headquarters
- Manage and update distribution lists, organizational chart and other key documents
- Assist with signing of contracts for SVP via Docusign platform
- Serve as thought partner to the SVP to enhance culture and connectivity in the organization and conduct activities in support of this
- Lead logistics and planning of meetings and events for the Partner of Choice leadership team (LT) and organization (e.g. LT meetings/team events, Year Beginning Meeting, Town Halls etc.)
- Proactively and independently organize and expedite workflow and initiate follow-up when necessary to ensure deadlines are met
- Collaborate with Administrative peers on department-wide initiatives and events as needed
- Support certain administrative tasks related to external collaborators of the Partner of Choice organization
QUALIFICATIONS
- High School diploma required; College Degree preferred
- Minimum of 5 years’ administrative experience supporting a Senior Leader preferred
Required Technical Skills:
- Multitask in a fast paced dynamic environment while demonstrating a resourceful, positive attitude and superior work ethic
- Ability to identify priorities and exercise sound judgement in accomplishing work in appropriate order
- Demonstrate speed and accuracy in administrative skills
- Knowledge of Microsoft Office, WebEx, teleconferencing programs and other internal Pfizer programs and systems
- Handle all duties with a high degree of integrity, professionalism and confidentiality
- Comfortable interacting with senior leaders
- Proficient writing, analytical and problem solving skills
- Ability to communicate effectively, follow oral and written instructions, and work well independently and proactively as well as part of a team
- Task and detail oriented
NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS
Work onsite at 66 Hudson Boulevard, NYC 2-3 days/week on average, in line with Pfizer’s Log In For Your Day policy
Travel occasionally to support offsite meetings
The salary for this position ranges from $31.36 to $52.27 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies. Benefits offered include a retirement savings plan, paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
