The Marine Personnel Coordinator's responsibilities include, but are not limited to:

  • Properly crew the vessels with the correct Coast Guard license mariner for that position.
  • Assist vessel personnel with initial issuance and renewal of USCG Merchant Mariner Credentials.
  • Schedule and assign all crew members to meet for crew change meeting on the proper crew change date for their vessel.
  • Ensure all crew members are assigned to the correct vessel and crew change truck to make crew change to the location in a timely manner.
  • Schedule air travel and crew services to and from location to airport when necessary.
  • Schedule, coordinate, and maintain daily marine personnel crew member list and crew schedules.
  • Rotate and assume the duties of the person on-call with the other Marine Coordinators. Personnel department has at least one coordinator on call at all times.
  • Updates and maintains information daily into the HELM payroll system.
  • Track and code days worked for all marine employees.
  • Maintain and update daily expense reports pertaining to departmental expenditures.
  • Coordinate and assist other team member’s schedules including personnel transfers, vessel reassignments, and vessel assignment route changes.
  • Assist the Operation Department with any problems or issues with vessel personnel.
  • Review annual performance evaluations with vessel personnel.
  • Assist the Safety and Training Department, if needed, in removing an employee from the vessel due to having to seek medical attention. Assisting the removed employee with proper transportation and lodging if needed.
  • Assist in scheduling marine employees for training courses, as well as lodging and transportation during the course, if needed.
  • Schedule personnel to assist Maintenance Department with supplying the vessels with equipment and supplies that may be needed during an off crew change day.
  • Assist marine personnel who may need to get off the vessel due to illness, injury or family emergency.
  • Participate in strategic staffing meetings and weekly personnel office meetings.
  • Participate in special projects as needed.
  • Provide input and ideas for process improvements.

Qualifications
The successful candidate will meet the following qualifications:

  • High School diploma or GED required.
  • 2 + years’ experience in marine environment is required. Marine personnel experience is preferred.
  • Ability to travel up to 10% domestically for local and out of state for field and vessel boarding is required.
  • Results-oriented and excellent customer relation skills is required.
  • Ability to communicate clearly, concisely, persuasively, and with confidence in both positive and negative situations is required.
  • Intermediate level knowledge of Microsoft Excel and Word is required.
  • Ability to juggle competing priorities, multi-task and change direction in a variety of workplace situations is required.
  • Ability to interact with co-workers in a businesslike and professional manner, both verbally and in writing is required.
  • Ability to speak and hold a meeting in a group setting.
  • Ability to work effectively and efficiently in a fast-paced environment, adapt to frequent changes in daily work activities, process work rapidly, set priorities, work under pressure and follow through with assigned tasks in a timely manner is required.
  • Ability to meet deadlines on all work assignments is required.
  • Demonstrated ability to find cost effective solutions to meet business needs using sound business judgment and discretion is required.
  • Ability to troubleshoot issues in an effort to find positive resolution.
  • Available to answer phone calls, text messages and/or emails day or night whether designated to be on call or not.
