ORGANIZATIONAL SUMMARY:

Interlibrary Loan service (ILL), part of the Collections & Discovery department, provides current USF students, staff, and faculty with materials from the USF libraries and other libraries. This includes transferring materials between USF libraries and obtaining research and educational journal articles, books and other materials from libraries across the United States and internationally, responding to most requests within 24 hours to meet the research needs of the University. USF participates in cooperative lending through OCLC's ILLiad, RAPID ILL, the Florida Information Network, the British Library, Copyright Clearance Center, and other resource sharing and document delivery networks, as well as operates within the Tampa Bay Library Consortium and FLVC systems.

POSITION SUMMARY:

This position provides leadership and effort in the processing of Interlibrary loan functions, including borrowing and lending requests for USF Tampa Campus Library patrons. The requirements for this position include assisting with management and planning of ILLiad workflows, developing onboarding plans and training staff and student assistants, monitoring request progress in ILLiad, assisting with ILLiad software maintenance and customization, analysis of ILLiad data for reporting, direct communication with patrons regarding technical assistance and request issues, knowledge of citation analysis, collections and ILL processes, participation in statewide resource sharing committees, and management of patron accounts.

RESPONSIBILITIES:

  • Engage in daily interlibrary loan functions, including reviewing and processing borrowing and lending requests for USF Library Tampa campus patrons. Search ALMA integrated library catalog, Online Computer Library Center (OCLC), InterLibrary Loan Internet Accessible Database (ILLiad), document delivery service databases, and local databases. Coordinate retrieval of material of all formats from library stacks. Communicate with borrowers and other libraries. Identify correct and/or most appropriate bibliographic record. Determine eligible and most appropriate lenders; initiate, fill and transmit requests to lenders. Update data/records, process received items. Monitor delivery and shipping of loan materials. Notify USF Library patrons about item availability. Monitor overdue and recalled items. Train and supervise ILL student employees. Initiate billing processes for lost/damaged material when necessary.

  • Apply knowledge of citations, library collections and ILL processes to troubleshoot patron issues. Communicate with patrons regarding technical assistance and request issues. Manage request and patron data. Assist with faculty, staff, and student research needs through identification of library resources and referral to reference services.

  • Attend relevant meetings such as Florida Vitrual Campus Resource Sharing Committee, Statewide Resource Sharing Town Halls (Florida Library Information Network & Tampa Bay Library Consortium). Collaborates with other library departments to maintain patron service standards and shared programs.

  • Assist with ILLiad software maintenance and customizations. Analysis of ILLiad data for reporting and assessment.

  • Attend online and in-person training sessions to remain up to date with the latest interlibrary lending, borrowing, and information management technologies, programs and procedures; monitor and investigate new software, technology developments, and training options for software upgrades relevant to the academic interlibrary loan environment.

  • Performs other duties as assigned.


POSITION QUALIFICATIONS:


MINIMUM:
This position requires a Bachelor's degree in an appropriate field with two years of work experience in a library. Appropriate college coursework may substitute for the required experience

PREFERRED:
Good communication and organization skills. Experience with interlibrary loan process, Microsoft Office. Familiar with Alma/Primo ILS and discovery system. Familiar with library electronic resources.
