Job description
MediaLink is seeking a motivated junior event professional to join our events team in Los Angeles. Reporting directly to Director and SVP of Events (both based in New York). The successful candidate will benefit from having previous event experience. The candidate must be an organized, meticulous, a proactive self-starter, a team player, and comfortable in a fast-paced demanding environment, juggling many balls and wearing many hats. As a key member of the events team, this is a vital support role to ensure the continued success of the department. Organization, attention to detail and a proactive nature are necessary to success. The coordinator position is an administrative and planning support role.
The role will pay an annual base salary of $75,000 - $85,000.

What You’ll Do:

  • Act as administrative support to events team including relevant meeting scheduling, project management, tracking budgets, contracts and sales status and other assigned tasks
  • Work closely with Event Team to support team in day-to-day tasks and follow ups
  • Assist department with billing submissions, tracking and timely payments for partners/vendors
  • Proactively maintain venues, vendors, catering relationships, updating shared database for department, researching and proactively adding vendors on an as-needed basis
  • Work in tandem with LA Manager in co-ownership of list management, invite and tracking process for all events and any promotional email materials (save the dates etc.)
  • Work with graphic designer to create invites and event collateral for events
  • Assist with conference travel, large hotel blocks, apartment blocks, ground and air transportation
  • Assist senior members of the team build relationships and manage communications around key conference tentpoles
  • Be an active participant in idea generation, brainstorms and creative ideation of events
  • Source sponsorship collateral, premiums/holiday gifts and maintain inventory of companies branded items
  • Uphold strict level of confidentiality

What You’ll Bring:
  • 2-3+ years in a support role in media, marketing, advertising, technology, finance and/or consulting fields, ideally in coordinating events
  • Confident self-starter with the ability and initiative to work independently and effectively under pressure
  • Strong organizational, communication and administrative skills (internal and client facing)
  • Ability to interact comfortably and effectively with employees at all levels as well as external partners and clients
  • Ability to work under pressure in a fast-paced environment
  • Possess strong attention to detail and proactive problem solving
  • Ability to multi-task efficiently and effectively
  • Great social and interpersonal skills and a team player with a positive attitude who works well with others
  • Proficiency in Microsoft Office XP (Word, Excel, PowerPoint, Outlook), PowerPoint, Concur and expense reports
  • Excellent verbal, written and interpersonal skills
  • Ability to anticipate shifting priorities
  • Limitless intellectual curiosity and general desire to learn
