CONFERENCE SERVICES COORDINATOR

We are currently accepting resumes for the Conference Services Coordinator position at Hotel Covington & The Madison Event Center. A highly motivated and flexible individual, possessing the ability to take the initiative, succeed under pressure, and meet deadlines.

Full-Time Position

Annual Salary + Commission

Annual Salary: $40,000 +Group Sales Commission

Primary Responsibilities

  • Coordinate event details for all corporate clients, including but not limited to the menu, timeline, and floorplan for up to 300 events annually.
  • Schedule and conduct meetings with clients to complete event details, on-site walkthroughs, and A/V checks.
  • Ongoing communication with clients from booking to the day of the event.
  • Day of event execution as needed.
  • Prepare for and participate in weekly event meetings to discuss upcoming event details with Operations Managers and Kitchen Managers.
  • Seek client feedback to ensure a high-quality experience and participate in effective conversations with Managers to resolve client concerns.
  • Assist with planning and executing company semi-monthly, semi-annual, and annual events.
  • Assist corporate clients and new leads with contracting a guest room block.
  • Manage individual and group hotel reservations.
  • Prepare resumes communicating group details to the Guest Services team and other applicable departments.
  • Coordination of group needs with all departments involved to ensure seamless execution.
  • Daily administrative duties such as collecting payments, office calls, and other duties as assigned.
  • Develop and manage professional relationships with local hotels, convention centers, and other applicable businesses.
  • Represent the company at trade shows and other marketing/networking-related events.
  • Collaborate and support all departments, including but not limited to Sales, Operations, and Culinary.
  • Assist with planning and executing company events.
  • All other duties as assigned.

Requirements

  • College degree from an accredited university (major in Sales, Marketing, Hospitality, Event Planning, or a related field is preferred).
  • 2+ years of hotel experience.
  • Ability to work in a fast-paced, growing organization.
  • Strong written and verbal communication skills.
  • Outstanding organization and prioritizes responsibilities well.
  • Participate & work effectively on a team.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Willing to work flexible hours, including evenings and weekends.
