Investments & Wealth Institute, a not-for-profit credentialing and membership association serving the global financial services industry, located in Greenwood Village, Colorado, seeks to hire a full-time, exempt Conference Program Manager for a dynamic role advancing the nonprofit mission and objectives, which includes elevating the competency and professionalism of advice delivered to the public.

The Conference Program Manager is responsible for managing and coordinating speakers, subject matter experts, and liaising with conference committees to ensure that the conference programs are developed in a timely manner in line with Investments & Wealth Institute’s objectives. This role is involved in all aspects of program content logistics, from pre-event proposal to post-event evaluation. A well-organized and collaborative effort is needed for successful delivery during conferences, online events, and other education initiatives. This position also supports other education program speaker logistics as needed.

Duties & Responsibilities:

  • Conference Programming, Speaker & Content Management
    • Work with volunteers, or on own, to secure speakers, negotiating a favorable agreement for the association.
    • Manage speaker proposal process including initial review of proposals and distribution of information to appropriate parties.
    • Review and prepare post-event evaluation report for staff, volunteers and speakers. Provide key learnings from each event to use when determining goals and objectives of future events.
    • Work with Director of Conferences and Chief Learning Officer to determine areas of improvement and implement tactics to enhance conference content and the overall conference experience.
    • Liaise with committee and executive leadership on speaker, topics, session length and final CE.
    • Implement speaker coordination process from confirmation to post-conference follow-up for live conferences, online programs and selected additional events.
    • Prepare timelines for deliverables from speaker (contract, description, presentation, invoice) and provide support as needed to maintain adherence to timelines.
    • Manage all speaker deliverables: contracts, hotel room confirmations, expense reimbursement, invoices, descriptions.
    • Schedule and hold speaker prep calls to discuss expectations and final deadlines at conferences.
    • Assist in the review of PowerPoint presentations for appropriate content and format. Work with Chief Learning Officer and committee to ensure speaker presentations meet the learning objectives and aren’t promotional in nature.
    • Prepare submitted presentations for use at conferences and for use in the conference app. Ensure that all materials adhere to Institute’s standards and policies for presentations and printing, while ensuring speaker compliance policies are met.
    • Work with Director of Conferences to plan Women in Wealth and VIP Receptions for in-person and virtual conferences.
    • Manage speakers and committee participation virtually and onsite for all concurrent sessions. Includes providing high-level customer service, managing last minute changes and keeping sessions running on time.
    • Manage/Host monthly conference committee calls for all IWI Conferences.
    • Maintain database of speakers, topics, and evaluations.
    • Oversee administrative tasks that Specialist completes for proper CE reporting.
    • Identify opportunities to integrate conference content and speakers with other delivery methods, including online and print education.
  • Conference Logistics
    • Coordinate creation and production of materials with internal staff and with selected vendor.
    • Manage loops and scripts for all conferences.
    • Manage the RFP process and select audio-visual (A/V) and related vendors for conferences. Negotiate competitive pricing while ensuring the highest quality equipment and services are provided by the vendor.
    • Partner with A/V vendor to ensure all speaker requirements are being delivered and meeting space is adequately set with proper equipment.
    • Manage show flow files and direct A/V company on proper implementation of all tasks, including music, VOG, loops, speaker slides, and special requests.
    • Work with Director to ensure all live meeting room sets are properly arranged.
    • Review and reconcile final invoices from A/V, print, fulfillment house and other vendors as needed.
    • Assist Online Education Team with IWI webinar logistics as needed.
    • Serve as technology expert for the conference team, including management of onsite and virtual technology such as mobile polling/Q&A, and supervision of video recording sessions.
    • Manage all speaker items for conference platform, including agenda, presentations, bios, descriptions, handouts.
    • Continuously monitor trends in the industry to ensure the Institute is on the leading edge and providing experiences that reflect our brand.
  • Other Duties
  • Work with staff, Board or committees on special projects as they are identified.
  • Assist other departments with speaker contracts and programing as needed.

Education and Experience

  • Bachelor’s degree required.
  • Three or more years working in an education or conference environment preferably in Financial Services Industry.
  • Association background and work with volunteers and speakers preferred.
  • Audio Visual experience required.
  • Financial Services Industry experience preferred
  • Experience managing website content and conference apps.
  • Experience with Continuing Education and/or certification process preferred.

  • Experience managing multiple programs simultaneously while successfully maintaining high-quality detailed work.
  • Ability to manage last minute changes and other unforeseen events that occur.
  • Ability to remain calm in stressful situations, especially when interacting with volunteers, speaker and other VIPs.
  • Exemplary customer service skills.
  • Above average written, verbal and organization and communication skills.
  • Intermediate to advanced PowerPoint skills.
  • Ability & desire to travel approximately 4-6 times per year.
