Job Description Summary :
The role
The Client Services Representative will serve as the single point of contact for Havas Production Studios direct client relationship. Demonstrating strong ownership of the brand, project needs and keeping the focus on executional success.
In addition, the CSR, directs, and coordinates all delivery-related activities of client engagements to ensure that project goals are accomplished within the prescribed timeframe, funding parameters, and scope.

What we expect from you
Client Relations
- Main point of contact for client engagements and briefings
- Ensures the client is kept apprised of the status of all jobs and ongoing progress
- Ownership of daily and/or weekly client status reports
- Creation and dissemination of client contact reports
- Delivers recommendations for efficiency, cost saving opportunities, and incremental income. Seeks opportunities to continually strengthen quality of client relations
- Acts as liaison between client and internal team, providing timely feedback between Agency and Client
Project Development
- Masters tactical planning, SOW development and implementation, including day-to-day management of timelines from project kick-off through release of each tactic
- Creation and ownership of tactical briefs and estimates
- Ensures all tactical execution supports brand and customer objectives and is aligned with the client approved tactical brief
- Continually seeks brand building opportunities/ways to overcome obstacles
- Champions the creative product in collaboration with creative team partners
Project Management
- Oversees day-to-day workload/workflow activities for assigned brands
- Communicates proactively and clearly with all key client and agency stakeholders
- Clearly defines project assumptions and scope parameters
- Responsible to ensure all projects are delivered on time, on budget and on plan
- Develops initial projects estimates, times lines, and updates all documentation through final delivery
- Collaborates with departmental teams leads regarding resources allocation as needed (onshore and offshore)
- Develops and maintains all project documentation using Havas/Client project management tools
- Prepares and manages submission of all work through clients medical, legal, regulatory review process
- Responsible for overall quality of delivery of work
- Possesses a strong knowledge of print and digital workflow and delivery processes
Financial
- Oversees daily financial health of all client work (estimates, jobs, fees, billing, client vendor trackers and other items) within the guidelines of the client’s budgets and Agency processes
- Prepares forecasts
- Ensure per job revenue is recognized based on project assumptions and revenue forecasts
- Attends and participates in monthly finance meetings.
- Ensures timeliness of client approvals, receipt of POs, transfers and write-offs as appropriate per client and agency processes
- Proactively identifies opportunities for incremental income based on scope changes
Leadership Skills & Communication
- Excellent project management, judgment, and decision-making skills.
- Demonstrated organizational and analytical skills
- Proven ability to multitask, handle stressful situations, and meet deadlines
- Can manage and supervise a design team (onshore and offshore) and offer constructive criticism that promotes growth
- Consults with Studio Director and agency operations manager regarding staffing resource needs
- Has an infectious positive energy that promotes team spirit and the sense of community
- Has a customer centric attitude
- Is proactive in finding solutions for the project
- Has excellent problem-solving skills
- Projects a professional image, always remaining calm despite high-pressure situation
Background/experience and skills
- Min 5 years in account or project management service at a healthcare communications/advertising agency, consulting firm or similar experience
- Background in Advertising, production communications
- Project management certifications is a plus
Computer programs:
- Strong proficiency in Microsoft Office Suite of tools (Word, Excel, PowerPoint)
- Pharmaceutical advertising agency experience a plus
- Must be able to work flexible hours when needed
