JOB TITLE: RMA & CMA
GENERAL SUMMARY OF DUTIES: Provide professional, polite, clinical services in the operation of a medical office. Act as a patient advocate and support the mission of the practice by implementing clinical systems, which promote office efficiency and patient satisfaction. Greets, instructs, and directs patients and visitors. Provides information and services to the patient related events at the practice. Works in conjunction with providers, nurses, and other staff members to ensure friendly, professional, efficient, and viable operations.
SUPERVISION RECEIVED: Reports directly to Office Manager.
TYPICAL PHYSICAL DEMANDS: Employee will need to handle multitasking in a fast-paced environment. Work may require sitting or standing for long periods of time, some bending, stooping, and stretching for files and supplies and occasionally lift and move up to 50 pounds. It is necessary to have the ability to restrain pediatric patients for treatments and medication or vaccine administration. Employee is required to have eye-hand coordination and manual dexterity sufficient to operate a computer keyboard, photocopier, telephone, calculator, and other minor office equipment. A normal range of hearing and eyesight is required to record, prepare, and communicate appropriate reports. It is necessary to view and type on computer screens for long periods and to work in an environment which may be stressful.
TYPICAL WORKING CONDITIONS: Busy medical office environment.
PRIMARY RESPONSIBILITIES: (This list may not include all the duties assigned.)
- Maintain and protect confidentiality of patient information.
- Greets all patients and visitors to the office in a timely, cheerful, understanding, patient, thorough, informative, and professional manner, directing them to their appropriate destination and with the appropriate clinical and non-clinical information
- Answer the telephone or return calls in a timely, cheerful, understanding, patient, thorough, informative, and professional manner. Identify the name of the practice and person answering the phone
- Take full responsibility and full ownership of work performed
- Facilitate decision-making, conflict resolution and operations to enable the practice to achieve its goals
- Approach problems with initiative, collaboration, a positive proactive attitude, and creative thinking
- Communicate with others in a professional, mature, direct, and timely fashion and establishes trusting, professional relations with others
- Maintain a neat, pleasant, comfortable, professional patient environment as well as for all of those who work in this office
- Conduct work with speed, attention to detail and correct prioritization
- Work under the supervision of Physicians
- Clinical duties include bringing patients into exam rooms and taking their vitals,Ht, Wt, Hr, Temp, rectal temp, head circumference
- Review medications and any allergies patients might have with parents
- Administer vaccines to infants, children, and adolescents: IM and SUBQ
- Handout Developmental testing questionnaire to parents
- Perform spirometry tests when needed and give nebulizer treatments also instruct patients on how to use the nebulizer machines at home
- Perform lab tests such as, rapid strep tests, urine tests, hemoglobin and lead tests, vision screening,Go Check for detection of eye & vision problems, Otoacoustic Emissions Testing,
- Answer phone messages and call patients with lab results
- Retrieve faxes and give to assigned doctor
- Call in medications into pharmacies and prior authorize medications. (when necessary)
- Scan all paperwork into patient’s charts including, labs, newborn documents, H&P's, etc.
- Ongoing training of other clinical staff as to best practices in patient care, care coordination, new tools for patient care, self-management tools for patients, positive reinforcement of good habits and coordination of care with community resources and specialists.
- Coordinators for VFC/NJIIS
- VFC – Maintains inventory and keeps temperature logs for refrigerators/freezer.
- Participate in required educational webinars and courses needed for yearly enrollment
- Maintain lab equipment, trouble-shoot any problems that arise, call companies, and speak with service dept. for solutions.
- Maintaining and updating all records required for and NJ Licenses (VFC & NJIIS) and being prepared at all times for compliance visits, announced and unannounced.
- Write letters for school issues, 504 plans, gym excuses, home instruction, etc.
- Talk/write letters for insurance companies regarding medical necessity and appeal issues.
- Obtain prior authorization for specific testing and imaging.
- Tracking down out-of-office lab work and radiology reports.
- Speak with drug representatives and vaccine representatives.
- Order medical supplies for the office, inventory and order lab supplies from Quest and Lab Corp
- Opens and unpacks deliveries when they arrive from FedEx or UPS
- Tidies and Open/Closes Rooms
- Checks room supplies and replenishes stock
- Checks sharps containers and changes them when ¾ full
- Maintains pick-ups of medical waste
- Writes up specimens and puts them out in the pickup box
- Record inventory lot # in Vaccine lot manager in EHR
- Daily monitoring in EHR lab results, alerting doctors of significant abnormalities, attaching labs, and monitoring labs until finals are received.
- Monitoring elevated lead levels, speaking to the DOH with abnormals, talking to parents regarding compliance with NJ & NY state guidelines for re-testing.
- Filling out school forms, college forms, working papers, etc.
- Expediting appointments with specialist and sending them the necessary medical records as needed, same day appt. or future appts.
- Administer specialty medications in office, Synagis, Decadron, Rocephin, B12 shots, etc.
- Deal with walk-in visit and emergencies. Triage the situation and make decision how to handle and assign which doctor to see patient.
- Schedule appointments for patients when appropriate.
- Call and f/u with patients who were seen in the ER/Minute Clinic, specialist, etc. and schedule f/u appointments as needed.
- Maintains optimal patient flow by prioritizing tasks during the day and are responsible for assisting other MAs or RNs
- Place new patients’ immunizations into the EHR and address any inaccuracies and validity.
- Attends the daily huddle with their provider or other departments to optimize patient care.

- Flexibility with schedule is required.
Education: High School Diploma and Medical Assistant Certificate
Experience: Medical office experience recommended.
Certificate/License: Valid Registered or Certified Medical Assistant Certificate is required.
