Job Description
The Receptionist is the first person that a Customer, Candidate or Client interacts with, they are essentially the face and voice of our company. For this reason, they play an extremely important role in the representation of Camden Homes.
Job Responsibilities
Attendance
- Be reliable and dependable ( Arrive on time and have excellent attendance)
Professional Appearance/Attire
- Always maintain a neat and professional appearance, business casual is acceptable.
Phone Etiquette/ Customer service
- Effectively manage all 4 lines of our phone system, including screening and appropriately transferring calls to employees and or voicemails.
- Always provide excellent customer service in person and on the phone.
- Take messages as necessary.
Maintenance
- Maintain the lobby, conference rooms, kitchen, and printer areas clean and neat always.
- Continuously disinfect most common areas, wipe down as needed.
- Report to Sooner Management any necessary repairs via their website.
- Always maintain the kitchen stocked ( Coffee, water, plates, utensils. ect.)
- Important to maintain all printers working and stocked with paper and toner.
- Must water the plants once a week.
- Keep the office smelling fresh.
Office Administration
- Assist all departments and partners( Property Management, Sales, Closing Facilitation, Accounting, Permit, Recruiting, Purchasing, Finance, Ferry Design, and HR) With administrative duties as needed for example;
- Filing
- Organizing
- Reports
- Assigned Projects
- Calls
- Creating easier more organized systems
Office Readiness
- Manage the supplies, distribute and organize supplies accordingly
- Collect and distribute mail in a timely manner
- Order lunches for meetings or corporate events as needed.
- Keep conference rooms ready.
- Keep Vendibean ready and working
Authority
- Signing packages/ Distribution of mail/ Sending mail / Couriers
- Screen Calls
- Enter work orders for the office
- Dismiss solicitors/ Call security
- Schedule Meetings
- Accept rent payments
- Order supplies
- Disconnect/ connect utilities
- Update directories
