JOB SUMMARY

The role of Benefits Specialist will administer the daily activities of the various benefit plans. This position assists associates by answering plan-related questions, researching, and resolving issues, assisting with benefits enrollment and questions, verifying all insurance billing, maintaining associate databases and files, and ensuring compliance with required benefit notices. We seek a talented and experienced Benefits Specialist eager to join an exciting, growing organization. This position is remote, but those local have the ability to work from the corporate office making the position hybrid if desired.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Assist associates with day-to-day benefits-related issues and assistance with health, dental, life, and other related benefit claims by providing excellent customer service support to associates and division HR partners.
  • Respond to questions sent to the benefits email, phone, and any other forum the questions come in.
  • Assist with the design and distribution of communication materials for benefits orientations, annual open enrollment, and other benefit-related documents.
  • Conduct benefits orientations and explain the benefits enrollment system to new associates.
  • Assist with annual open enrollment by auditing enrollment files between HRIS and all carriers. Process all manual changes made during the last month of the plan year and track them appropriately.
  • Partner closely with the Payroll team to ensure benefits changes are entered accurately and appropriately in the payroll system for payroll deductions.
  • Maintain accurate benefits content in the HR/Payroll system.
  • Provide support with leave of absence claims, including but not limited to medical leave, disability, and on-the-job injury, with third-party administrators.
  • Process weekly EDI transactions related to benefit plans.
  • Maintain benefit records and reports required for audits.
  • Audit and coordinate all monthly insurance premiums with the Finance department.
  • Ensure compliance with IRS regulations and oversee draft documents for filings such as Form 5500s, 1095C, and others related to associate benefits.
  • Processes QMCSO paperwork and update employee coverage as necessary.
  • Support the organization’s Wellness program through the coordination of communications to all staff and partnering with Division Wellness Champions to administer challenges, track wellness challenges, etc.
  • Research and resolve administrative system and data errors with the carrier representatives.

SUPERVISORY RESPONSIBILITIES This position carries out supervisory responsibilities in accordance with company guidelines, policies and procedures, and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

  • High school diploma required; college degree preferred
  • Two to four years of benefits-related experience is required
  • Proficient with Microsoft Office Suite
  • Valid driver’s license, with the ability to travel domestically, as required
  • Ability to handle confidential information
  • Basic knowledge of employee benefits and applicable laws and regulations
  • Strong Analytical & Problem-Solving Skills
  • Excellent written and verbal Communication Skills
