Essential Functions

  • Works directly with Clinical Director, Office Manager and Administrative Staff to assist in scheduling all initial appointments and follow-up appointments using computerized scheduling software.
  • Greets and assists staff, clients and others in a courteous and timely manner, including answering and directing incoming calls appropriately.
  • Ability to calmly handle suicidal ideation calls and/or walk in clients.
  • Monitors scheduled appointments and prepares required statistical reports for leadership team.
  • Communicates with clients and/or their families to provide necessary pre-appointment instructions.
  • Performs insurance verification and/or pre-authorizations as necessary.
  • Maintains and keeps records current by assisting with filing on an as-needed basis.
  • Provides other administrative services associated with the operation of the outpatient clinic.

Education, Experience, and Other Requirements

  • Minimum Associates degree strongly preferred (will consider extensive work experience in lieu of degree).
  • Must have extensive clerical experience (mental health workplace preferred).
  • Experience with electronic health record software, scheduling clients and insurance verification
  • Ability to pass a national background check and drug testing.

Physical Factors/Working Conditions

  • Stands, walks, and sits continuously throughout the day.
  • Utilizes computer to access Intranet/Internet and enter information into electronic health record software
  • Has a risk of physical danger due to the nature of the population served.
